The Vacancy Job Purpose To provide comprehensive, professional, and efficient administrative support to the Account Director and senior leadership team. This role ensures the smooth operation of daily activities by managing schedules, coordinating meetings, and handling confidential information with the utmost discretion. Additionally, the position involves offering administrative assistance to various business departments as needed, facilitating effective communication and collaboration across the organization. The role demands a proactive approach to problem-solving, a high level of organizational skills, and the ability to adapt to the dynamic needs of the business. Key Accountabilities The main duties of this role will include: Providing full administrative support to Account Director and all senior leadership team Ensuring effective communication and good rapport at all levels Diary management, scheduling calls / meetings etc Data gathering, reporting generating and circulation in advance of meetings Weekly ‘cascade’ production and distribution, ensuring relevant contact with key stakeholders, issuing timely reminders for content and circulating any associated documentation Co-ordination of monthly newsletters for the account, liaising with key stakeholders for input and information, overall creation and design control. Co-ordination of meetings, attending, taking actions and tracking them to completion Task management, ensuring team work load comprising regular and reactive tasks is carried out to highest standard and agreed deadlines Management of shared mailbox, picking up and dealing with any queries raised and seeing through to resolution Analysing and presenting information in various formats, e.g. spreadsheets, charts, presentations, and written reports Coordination of appropriate projects for the senior leadership team and extended business Generating POs, liaising with Finance dept and relevant senior team members for sign off and approval Booking Meeting rooms and arranging any catering as required Knowledge, Skills & Abilities Educated to Higher Grade / A Level standard Background or relevant qualification in Administration preferable Ability to extract, collate and present performance data relevant to the business Ability to work under pressure Confident liaising and communicating at senior level.
