The Role: We are seeking an experienced Project Manager who will be responsible for the coordination and delivery of campaigns and projects in a timely and efficient manner. They play a key role in facilitating collaboration and coordination between team members to ensure the smooth delivery of activity, in line with the agreed scope, client objectives and our quality standards. As the key interface across teams, clients and suppliers, they are the go-to point of contact for project management and delivery to ensure work is executed with impact. By overseeing the effective management of resources, the project manager is involved in the development of quotes, along with monitoring the commercial performance of accounts and projects. Responsibilities: Campaign planning • Supporting with the planning of strategic marketing communications campaigns and projects across creative, digital, content and strategy for clients or new business opportunities as required • Interrogating client briefs to ensure we have the right information to project manage a campaign or project • Facilitating collaboration across teams to ensure the right people are involved at the right time to influence and inform recommendations and estimates • Developing timelines to support campaign plans • Demonstrating a strong understanding of client objectives • Exhibiting a good understanding of B2B marketing principles, channels and tactics across the marketing mix. Project management • Responsibility for the efficient and timely delivery of campaigns and projects in line with the agreed scope of work and brief • Proactively managing project timelines, adjusting where necessary and communicating key project milestones and deadlines to teams and clients • Establishing position as key client contact for project specific queries and channelling questions from clients to the appropriate team member to provide a timely response • Identifying and implementing process improvements to facilitate the smooth running of projects • Demonstrating a strong understanding of the processes, requirements, deliverables and timelines associated with creative, content, digital and strategy projects to inform decision making • Scheduling work with relevant team members in Synergist in line with delivery timelines and ensuring adequate time for internal and client reviews • Managing the delivery of trade media artwork in line with media buying plan requirements and deadlines • Supporting with the organisation of events, trade shows, and promotional activities, managing logistics, registrations, and materials • Building collaborative relationships with BDB’s supplier network to facilitate delivery of projects through freelancers on the basis of a strong understanding of each supplier’s specific strengths and capabilities • Effectively using project management tools including Trello, Synergist and TeamGantt and following BDB project management processes to ensure consistent ways of working • Staying up to date with project management best practices and sharing learnings with the wider team Commercial management • Responsible for developing accurate quotations for campaign deliverables and projects ensuring adequate time for the appropriate team members is accounted for • Asking the right questions during the briefing and planning stages to ensure we have the necessary information to build accurate quotations • Responsible for managing time effectively to balance workloads for yourself and team members • Accountable for proactive and regular management of jobs and phases for projects on Synergist to facilitate accurate reporting • When appropriate, ensuring job numbers are created and shared with relevant team members when working on jobs • Confidence to handle budget negotiations with clients balancing the needs of the client with commercial viability for BDB • Proactively monitoring time recovery on projects using available reporting capabilities and using learnings to inform future quotations • Responsible for ensuring supplier POs have been received, in line with initial quotation and added to Synergist when appropriate • Exhibiting commercial awareness by finding ways to optimise efficiency and added value / ROI for clients. Quality assurance • Responsible for quality control across campaign assets and deliverables against client brand guidelines and the brief to ensure we are consistently meeting high quality standards • Responsible for comprehensive proofing of campaign assets and deliverables to include spelling and grammar, trademarks, branding requirements, imagery and links • Ensuring timely delivery of briefs and setting up briefing calls to give teams adequate time to ask any questions before starting work • Collating internal and client feedback in an organised and streamlined manner to brief back into internal teams • Conducting regular audits to identify any areas for improvement People management • Supporting the professional development of junior team member(s) through coaching and mentoring, as well as facilitating on-the-job training • Identifying any problems or issues with individuals or teams and judging when to discuss with senior management • Planning and delivering internal training sessions as required.
