Department: Finance Dispute Resolution

Description
Due to firmwide growth, we are looking to recruit an experienced Administration Assistant to support the fee earners in our Finance Dispute Resolution department with secretarial and billing support. In addition, the Administration Assistant will support the Finance & Administration Supervisor in the recoveries team with administration and finance tasks during busy periods.
This role reports on a day-to-day basis to the Head of Finance Dispute Resolution and will be based at our Leeds office, Monday to Friday, 37.5 hours per week.
Key Responsibilities
* File opening and file closing.
* Tier 2 & Tier 3 cost approval forms.
* Complete court documentation.
* Billing of matters and working with the finance department on billing queries.
* Paying invoices (Counsel's fees, agent reports, etc.) and the time spent liaising with finance regarding this.
* Re-opening historic files where necessary.
* Dealing with any invoice queries from clients (and/or third parties).
* Liaising with finance regarding expected payments.
* Monthly reporting to clients – completing financial information on a monthly basis & distributing to individual team members for their file updates, before sending the report to the client.
* WIP monitoring – distribution of reports to team members / calendar monitoring to ensure no deadlines are missed.
* Team reports – limitation dates / holidays requested by the team.
* Use the firm's case systems including NetDocs & Casenet to obtain MI and reporting for management teams.
* Any other finance or administration tasks set by the Head of Finance Dispute Resolution.
Skills, Knowledge and Expertise
* Have excellent telephone handling skills and be a strong communicator.
* Preferably have previous experience in administration.
* Be able to work in a fast-paced and challenging environment.
* Be focused on resolutions and positive outcomes.
* Have excellent time management skills and the ability to work to tight deadlines with your caseloads.
* Be enthusiastic and work hard to develop with the team and the business.
* Be committed but patient with the journey; career progression opportunities are available, and our business is growing, but you must show that you can master the collections advisor role and fully understand it to open up conversations about promotion or progression - we will work with you on your development.
