JOB SUMMARY
We are looking for an experienced Wedding & Private Event Planner to join our growing agency team. The role is primarily to plan and lead the execution of mid-scale to large events for private and wedding clients. Event types vary but include primarily UK and destination weddings, birthday parties, anniversaries, celebration weekends and intimate gatherings.
The role is broad and covers every aspect of event delivery, from handling initial enquiries and creating concepts and proposal decks, event design & mood boards, supplier & venue searching, guest management & logistics, end-to-end planning, running events onsite and reconciling the budget after. The work is global and fast-paced, so a willingness to travel is essential.
KEY DUTIES
* End to end planning (from point of initial enquiry) of private events and weddings in the UK and globally.
* Creative ideation and exceptional delivery across all events.
* Develop event proposal presentations and event ideas for new enquiries, including event design, mood boards and venue suggestions.
* Be competent in delivering on a number of projects and events simultaneously.
* Take ownership of all elements of your allocated events including contracting, timelines, production schedules, running orders and budgets.
* Develop, manage and report on client budgets (£10k - £500k), managing all project finances including detailed budgets, client/supplier invoices & cashflow.
* Research and keep up to date with event suppliers across all categories, building trusted relationships with preferred suppliers.
* Represent Quintessentially at industry events and build strong supplier relationships.
HOURS OF WORK
Contractual hours are from 0900 to 1730 Monday to Friday.
However, it may be the case that in order to fulfil the duties of the role, different or additional hours may be necessary.
Requirement to be on call outside working hours in case of service-related emergency.
REQUIREMENTS
* Demonstrable experience within creative wedding & private events management, ideally within the events agency arena.
* A strong project lead who can own their own events, but also a great team player.
* Financially astute, being able to strategically manage budgets & suppliers and run projects self-sufficiently.
* Knowledge of delivering events internationally is desirable.
* A detail orientated and focused individual who is able to work both autonomously, and as part of a team to provide support to Senior members of the department.
* Well organised, a strong multi-tasker and attention to detail.
* Motivated and driven; superb communication skill at all levels.
* Positive can-do attitude, thrives in a fast-paced, ever-changing environment.
