Hours: Working on site Monday to Friday 8:00 a.m. until 16:00 p.m. 37.5 hours per week, with 30 minute unpaid lunch break.

Role
We are currently recruiting for a Receptionist Administrator to join our team based at our Head Office in Coventry.
The working environment is contemporary, clean and engaging.
The role is considered a ‘desk-based’ role with physical demands being described here are representative of those that must be met by an Employee to perform the essential functions of this job.
The employee must be able to:
· Operate a computer and other office machinery.
· Occasionally move about inside the office to access file cabinets, office machinery, etc.
· Communicate and exchange information with co-workers and external vendors in person, over the phone, and via email.
· Decipher documents and other communications.
· This role is in an office environment with a noise level that is usually quiet to moderate.
Role is not compatible with Hybrid working with daily in office presence required.
The successful candidate will be responsible for:
Responsibilities
Efficient running of Reception
Meet and Greet – the face and welcome of Fraikin when greeting customers at Reception; sign-in visitors & announce their arrival to host.
Receive and direct incoming calls
Using the Company standard with all call handling, field incoming calls and direct to relevant function, take messages as well as screening calls.
Monitor and maintain – Talk-To-Us email account
Forward emails to relevant departments/specifically named people.
Review and escalate any complaints. Complete CIC forms for complaints.
Respond to emails in a professional manner.
Incoming/ Outgoing post
Including DHL/Specials/Parcels/Courier Service.
Administering and operating franking machine, ordering supplies, adding funds, dealing with faults.
Office Administration
Creating/updating spreadsheets, scanning, printing, raising purchase orders, completing TT’s.
Order stationery including business cards, supplies for coffee machine and drinks stock for the works café keeping areas stocked and neat between daily clean down.
Managing meeting room bookings in outlook calendar and book refreshments including lunches - Booking and ordering taxis.
Support the Executive Assistant in travel bookings, expenses and diary management.
Co-ordinate and control Car Park permits, issue car park plan and maintain permit register.
Co-ordinate facilities services including kitchen repairers, photocopiers, lighting, doors, plug sockets and liaise with cleaning company personnel.
Control access system - Create and issue passes to new starters, deactivate leavers and issue visitor passes. Reallocate leaver lockers
Maybe required to hold Fire Marshall (training to be provided)
Person Specification
16. Discretion and high level of confidentiality
17. 1- 2 years' experience in a reception/office administrative supportive role
18. Professional etiquette and a warm demeanor. Can communicate both orally (telephone handling skills) and written English with range of personnel. Capable of writing professional business correspondence with an eye for detail.
19. Collaborative – ability to work well with others both internally and externally across all levels and functions
20. Must be able to use Microsoft Office ; Word, Excel, Outlook (email)
21. Look for new techniques and processes to create efficiency
22. Learn to adapt to new technologies as it relates to office practices and procedures
