Role Responsibility: GOVERNANCE ADMINISTRATION CO-ORDINATOR – PATIENT TRANSPORT SERVICES Chatham, Lordswood (ME5 8RZ) and Hybrid Working £24,500 - £26,500 per annum dependant on experience Full Time, 40 hours per week - Maternity Cover for 9 months About Us G4S Patient Transport Services (PTS) is one of the UK’s largest Non-Emergency Patient Transport providers, carrying out over 500,000 journeys on behalf of the NHS every year. With 12 operational bases across the UK and a dedicated call centre, we employ over 720 members of staff to deliver safe, caring, high-quality patient transport. About the Role As a Governance Coordinator you will provide high-quality administrative assistance to the Head of Governance, Managing Director, and Director of Operations, ensuring that all tasks are completed accurately and on time. You will maintain and oversee the document management system, ensuring all documents have clear ownership, defined review dates, and are regularly updated. Monitor review timelines and proactively prompt document owners to ensure compliance. In addition, you will attend meetings, take detailed minutes, and track action items to ensure follow-up and accountability. Some of the key responsibilities for this role are; Assist in the preparation of reports and facilitate effective communication within the governance team to ensure transparency and clarity of governance processes. Monitor team email inboxes and distributing for action as required Maintain the document management system and support document owners to update and review documents in a timely manner Support the organisation and management of the Governance committee. This will include scheduling meetings, preparing papers, and monitoring actions Support teams in preparation for regulatory reviews (e.g. arranging attendance, distributing information, taking minutes) To provide administrative support to the Governance Manager, Clinical Quality Lead, Clinical & Professional Development Manager as required: o Provide administrative support to all elements of the Governance Team, including the running of reports and disseminating Service wide communications. To undertake duties in support of the wider G4S Specialist Transport Service Manage and maintain the Central Filing System (CFS); Process the employee of the month award, and Support with HR processes The Ideal Candidate: About you The successful candidate must have strong administration skills and attention to detail, have excellent organisational and time management skills with the ability to manage competing priorities. Excellent written and verbal communication skills are a must, as well as working proactively as part of a team and using your own initiative. You must be able to demonstrate the ability to work to tight deadlines, maintain confidentiality, have the ability to prioritise workload, maintain high levels of accuracy and challenge where necessary. You must have the ability to embrace complexity, be a part of a busy and fast paced environment and be flexible and adaptable to deal with ever-changing scenarios.
