We are looking for enthusiastic and forward thinking individuals to join our Theatre team.
The Theatre Administration and Stores Keeper is an exciting new rotational role working at either the departments main reception or within the theatre stores areas.
The individuals will need to be flexible and organised to support the role development as it is anticipated that this new role will develop through service demands within the theatre department.
We are recruiting to two full time posts ( hours) and one part time post ( hours). The roles involve working Monday - Friday.
Main duties of the job
The Theatre Admin and Stores Keeper is responsible for participating as part of the Theatre Team based either at main reception or within the theatre stores areas.
Function as a member of the multi-disciplinary team in a cooperative and collaborative manner to assist with theatre main reception duties and the theatre stores area to participate in the achievement of performance outcomes.
When acting in an 'Administrative' role the post holder will act as the first point of contact for all visitors and company representatives to the department dealing with enquiries in a professional and efficient manner and providing general clerical assistance and data entry as determined by the Theatre Matron, List Co-Ordinator, or senior Team Leader.
When working in the 'stores' role to assist in the preparation, cleaning, maintenance, and stocking of the operating department reporting promptly to the team any stock deficiencies or equipment failures, which may hinder or impede the efficient provision of Theatre Services. To handle and manage the receipt and dispatch of surgical instrument trays to and from SSDU and receive and check all stores deliveries to the depatment.

Job responsibilities
1. Arrange for the transport and disposal of clinical, domestic, sensitive, and confidentialwaste in accordance to Trust Policy.
2. Assist with the safe storage and dispatch of specimens from the theatre unit.
3. To participate in the management of supplies ensuring the theatre unit has sufficient levelsof all essential supplies to meet the service demands and maintain an effective stockrotation programme.
4. Receive and dispatch sterile supplies ensuring SSDU/CSSD schedules are completed.
5. Manage and maintain the pharmacy fluid stock.
6. Ensure that the pharmacy stock items including controlled drugs are received and stored inaccordance with COSHH and Trust guidance; any in balance in stock is reported andaddressed.
7. Manage and maintain the stock of medical gas cylinders ensuring that any in balance instock is reported and addressed.
8. To ensure safe working practices are maintained and the use of protective clothing ismaintained.
9. Assist in maintaining and monitoring cleaning standards within the non-clinical areasensuring general fixtures/fitting and specialist equipment are cleaned in accordance withguidelines.
10. Comply with the Trusts Infection Control Policy
11. Provides effective verbal, written and electronic communications by receiving andpassing on clear messages and seeking assistance when needed.
12. When based at reception acts as first point of contact for the person in charge dealingappropriately with all communications and tasks allocated, including sensitive issues.
13. Co-ordinates the flow of visitors to the Department, establishing identity and reasonfor visit and documenting to comply with Health and Safety and Fire regulations.
14. Ensures that all visitors have arranged appointments and booked accordingly usingthe Trust preferred system.
15. Ensures controlled access to changing and clinical rooms.
16. Liaises with patients, relatives and visitors on the Department providing directionsand information as required. Also obtaining the appropriate support when neededfrom the Multidisciplinary Team.
17. Maintain and photocopy records, prepare forms and make appointments asrequested, this may include organising transport arrangements, ensuring that theinformation given is accurate and up to date.
18. Maintains manual / computerised records relating to organisational activity.
19. Inputs data to the Operating Theatre Information System as required ensuringrecords are maintained accurately and promptly updated on receipt of newinformation.
20. To be aware if the need to maintain the dignity and privacy of the patient and tomaintain confidentiality in all matters concerning patients and their relatives.
21. Ensure Operating lists are printed from the ORMIS system 24 hours prior to the list.
22. Receive and process mail, delivering to the correct location within the Department.
23. To participate in the management of stationary supplies ensuring the theatre unithas sufficient levels of all essential supplies to meet the service demands. Thisincludes ordering, receiving and checking deliveries are accurate and also reportingdiscrepancies.
24. Maintains tidiness of the reception area ensuring adequate stock is at hand that maybe required by the Multidisciplinary Team.
25. Establish and maintain an effective filing system.
26. Transmits clear and concise messages to members of the multi-disciplinary teamrecognising when information requires urgent transmission.
27. Display a pleasant and supportive manner when addressing patients / relatives / carers andcolleagues alike.
28. Maintain basic administration tasks, answering telephone when required and the taking ofmessages and passing on of relevant information.
29. Maintain effective communication skills when liaising with patients; staff and visitors, usingtact and empathy to receive and pass on information ensuring confidentiality is maintained.
30. Ensure records/information are kept in a safe place to maintain security and confidentialityof all records.
31. To participate in and attend all relevant departmental meetings.
32. Maintain accurate and timely records.
33. To be aware of the need to maintain the dignity and privacy of the patient and to maintainconfidentiality in all matters concerning patients and their relatives.
34. Participate in ensuring the effective utilisation of all financial resources in providingand delivering the service.
