The main responsibilities of the Academic Services team are:
* Issuing all documentation for and assisting students with their UK visa application.
* Co-ordinating the academic content of all experiential learning programmes.
* Placing students in suitable internships to fulfil their academic & personal goals.
* Providing support, guidance and pastoral care for all students.
* End to end running of all experiential learning programmes (In-person and virtual).
* Expanding and enhancing our programme offerings.
Experiential Learning Programmes
* This role will provide key administrative support in order to ensure the smooth running of our experiential learning and internship programmes, including working directly with students, university partners and host employers. Duties include:
* Guide students through the internship placement process from beginning to end, including:
o Liaising with students to plan all internship interviews (both with AES and host companies).
o Providing CV and interview advice.
o Recruiting new host organisations via emails, phone calls & networking events, with weekly targets to meet.
o Coordinating and planning mid evaluation assessments for all students with all relevant parties.
o Compiling final evaluations to support Vice President of Academic Affairs (VPPA).
o Assisting Visa Compliance Officer with database applications and administration.
o Ensuring all enrolments comply with either Student Route or Tier 5 visa regulations alongside Visa Compliance Officer.
o Reporting internship absences to the appropriate people/teams.
o Actively gathering and analysing feedback from students via formal and informal channels.
o Contributing to the overall development of the experiential offering at AES, including enhancing processing systems and improving the student experience.
Student Services
This role is student facing, and the position holder will play a key role in ensuring our students are enrolled successfully and have a first-rate experience during their time in London or on one of our virtual programmes. Duties include:
* Assisting in the delivery of all onboarding and orientation programmes, including support and advice for students when relocating to London.
* Creating and distributing all pre-arrival documentation, including location guides, travel arrangements and internship schedules for all students.
* Providing pastoral care for students on a wide range of issues including workplace concerns, career advice and wellbeing.
General
The position holder will be joining a small, friendly and dynamic team. The whole team rolls their sleeves up and gets stuck in with things which are both within and outside of their usual ‘day to day.’ As such, there will be times when you may be asked to support other teams within the business and have a chance to broaden and enhance your skillset in other areas.
* Contributing fully to AES, undertaking team-related tasks and responsibilities as appropriate, and supporting other teams as required.
* Proactively keeping up to date with UK Visa and Immigration regulations regarding Student Route and Tier 5 visa requirements.
* Attending relevant UK and international internship sector meetings to keep abreast of sector developments.
* Assisting with the development of the programme in line with quality assurance requirements (QAA).
About you
* Educated to degree level.
* Highly organised with strong attention to detail.
* Fluent in English with excellent verbal and written communication skills.
* Positive attitude and highly motivated with the ability to prioritise work, use initiative and meet deadlines.
* Experience of providing administrative support including diary management, data processing and team support.
* Enthusiastic phone manner and confident in engaging with students and partners.
* Good interpersonal skills & a sympathetic attitude.
* Computer literate; knowledge of Microsoft Office Applications (Word, Excel, PowerPoint, Outlook).
