My client, one of the UK's largest Facilities Management companies, is looking for a Facilities Manager in the Farnborough area.
Duties:
1. Responsible for managing the delivery of the site services and resolving any issues that may arise. Site services provided shall include Post/deliveries, Cleaning, Vending management, Office Services, Waste, Hard Services, in line with account processes, SLAs/KPIs.
2. Control & Management of site financial budget. Using the financial systems, this role will be accountable for accurate forecasting and attending periodic client review meetings.
3. Raising of Purchase Orders and managing FCRs (Funding Client Requests) through to closure. Occasional ad-hoc support for the wider UK account portfolio may be required.
4. Control & Management of third-party contractors, including completion of Inductions, maintenance of QHSE paperwork, and escorting around site.
5. Responsible for ensuring full compliance for the delivery of services.
6. Completion of required monthly Health & Safety documents within required timelines (Monthly workplace Inspection, Monthly Hazard Reporting, Monthly Self-Assessments and Safety Observations).
7. Manage and maintain the compliance tracker for the site.
8. Daily monitoring of site work orders to ensure account KPIs are met.
9. Manage and perform meeting room set-ups and bookings in line with client requirements.
10. Support the co-ordination and testing of Business Continuity Planning for the site.
11. Responsible for ensuring that all equipment is maintained and operated in a safe manner.
12. Develop and maintain successful working relationships with the client, key stakeholders, customers, landlord representatives, and suppliers.
13. Weekly Utilization submissions to ensure accurate headcount reporting.
14. Assist and prepare hospitality requests as/when required.
15. Management of e-logbooks, working closely with the technical team for reviews/updates. Responsible for attending and supporting all site audit activities.
16. Regular communication with the building landlord.
17. Management of car parking badging system.
18. Seek opportunities to improve services and cost-effective ways of working.
19. Must be able to support and react to ad-hoc out-of-hours calls in the event of emergency scenarios with excellent communication.
Skills/Qualifications
1. Exceptional Customer Service Skills.
2. 5 years in a similar position in an FM or related services environment.
3. Good knowledge of SLAs/KPIs.
4. Good understanding of contracts and negotiations.
5. Experience in dealing with suppliers/contractors.
6. PC literate - Microsoft systems.
7. Competence in oral and written skills.
8. Ability to work to pressured deadlines.
9. Strong finance skills with budget management experience essential.
10. Having a flexible approach to ensure time-critical projects are appropriately supported.
11. Must be able to complete a wide range of activities requiring clear communication, excellent organizational skills, and attention to detail.
12. Previous experience of dealing with customers within a corporate environment with a high emphasis on customer service.
13. Security Clearance requirements are essential.
