Senior Executive Assistant
Reporting to: Commercial and Finance Director
Our client, a well-established non-profit organisation dedicated to supporting professionals in their development and ensuring excellence within their sector, are looking for a Senior Executive Assistant. As they embark on an exciting new phase of growth and strategic re-engagement, they are seeking a highly organised and proactive Senior Executive Assistant to provide vital administrative support to the Senior Management Team.
Main Responsibilities
* Provide high-level administrative support to the Senior Management Team.
* Manage complex diaries and schedules.
* Coordinate and organise meetings, including logistics, agendas, papers, and minutes.
* Assist with inbox management when required.
* Record minutes and track actions for management meetings.
* Offer administrative support for the Presidential Team, Council, and Council Executive Committee (CEC).
* Manage Council and CEC risk processes.
* Coordinate travel and accommodation arrangements, including visas, flights, and hotels.
* Act as the office manager, liaising with the landlord as needed.
* Arrange facilities and catering for on-site meetings.
* Provide support for HR, coordinating processes such as recruitment, induction, and appraisals.
* Monitor HR system records to ensure accuracy.
* Provide seasonal support across departments, including Events, Membership, and Finance.
* Undertake additional duties as directed by the Commercial and Finance Director.
Personal Attributes
You are a proactive and highly organised professional with proven experience as a PA, Executive Assistant, or Office Manager. You thrive in fast-paced environments, managing multiple projects and priorities with ease. Strong communication and interpersonal skills are essential, as is your ability to use initiative and adapt to changing demands.
Additional Notes
* Flexibility to work outside standard hours may be required.
* Travel within the UK and internationally may be part of the role.
* This position is based in London, and the candidate must have the right to work in the UK.
Essential Criteria
* Strong interpersonal skills with the ability to build relationships internally and externally.
* Excellent organisational, prioritisation, and time management skills.
* Exceptional written and oral communication skills.
* Practical, hands-on approach with a willingness to support diverse tasks.
* Proficiency in IT tools, including Word, Excel, Outlook, Teams, and databases.
* Experience working at a senior level, handling confidential information.
Desirable Criteria
* Familiarity with HR processes and procedures.
* Experience working in the charity or non-profit sector.
