Volunteering Responsibility for supervision of Trust Volunteer Lead the delivery of a comprehensive volunteer service within RDaSH Act as the liaison point and first point of contact for all matters relating to the use of volunteers at RDaSH Provide continued support and advice to all volunteers and their line managers in the areas to which they are deployed Manage conflict and sensitive situations in support of volunteers Manage the recruitment process of all new volunteers including the monitoring of references, relevant DBS checks and Occupational Health forms and the maintenance of recruitment records Maintain an electronic staff record for all volunteers via the volunteer's database, ensuring that it is p to date and accurate, identifying new starters and leavers Maintain personal files for the volunteer workforce Develop and maintain accurate rotas and coordinate the allocation of duties with consideration to holiday, sickness and absence cover so that all volunteer services run smoothly and efficiently Promote volunteering opportunities through, social media, presentations both internally and externally, volunteer promotion events, newsletters and via other channels as appropriate Ensure all volunteer staff undertake mandatory training as required Work collaboratively with the Learning and Development Department on the induction and ongoing training of volunteers Ensure that enhanced training is provided to volunteers in specified roles including, End of Life, Mental Health etc and for any new implemented roles as required Ensure volunteers are aware and adhere to procedures relevant to their role Manage volunteers' involvement in our catering services Maintain financial records including checks on income and expenditure. Account for any discrepancies and any financial issues or statements ensuring the Head of Quality and Promises is briefed on any concerns Ensure that Food & Hygiene regulations are strictly adhered to covering both machinery and workforce and take appropriate remedial action as necessary Work collaboratively with Trust leads and partners to establish new volunteering opportunities in line with the Trust's Strategy (2023-2028) and associated action plans. Develop and support development of innovative and imaginative new opportunities for volunteering Work collaboratively with independent and third sector organisations on the development of innovative volunteering opportunities and passporting Develop role outlines for volunteers in conjunction with Trust leads and in support of service requirements Provide advice and guidance to supervisors of volunteers/managers on volunteering policies and procedures about monitoring and supervision of placements. Also, to ensure that volunteers are not required to undertake any work properly belonging to paid staff and ensuring their role is to assist paid staff only Audit and monitor the work of the volunteers and ensure supervisors of volunteers/managers review placements and take the necessary action if placements are no longer required or volunteers are not acting in accordance with their role outline Work collaboratively with service managers to ensure that risk assessments are undertaken in all areas covered by volunteers Undertake regular risk assessments for voluntary services and review them annually Support equality and diversity in volunteering opportunities in line with the Trust Volunteer Policy Arrange and attend meetings, conferences, webinars in support of the voluntary services function and personal development Patient and Public Involvement Support the delivery of promises 4 and 5 - ensuring that there is adequate and effective patient representation across the Trust, including supporting existing patient forums as well as the development of additional involvement opportunities for patients, carers, and the public, including strategic coproduction Develop and support guidance and processes for people to effectively engage and involve patients, carers, and the public as partners in care, decision making, and service development or design. This will include a toolkit and guidance for staff on setting up and working with patients. Identify and pursue opportunities for local people to become more involved in the Trust Lead on building and strengthening relationships with Place and VCSE sector organisations through improved partnership working e.g. Healthwatch, Voluntary Action and participation partners Work with the patient safety, carer and community officers, and care group colleagues to support actions that improve patient (and carer) experience based on experience feedback received through Care Opinion, FFT or by other means Lead on engaging and involving people from Inclusion Health groups, working in collaboration with system partners and local Place plans to reduce health inequalities in terms of access, experience and outcomes of healthcare. Work closely with the Equality, Diversity and Inclusion (EDI) Team on identified projects and developments, including improving the experience of patients and service users within the protected characteristics under the Equality Act of 2010, and ensuring that all involvement activities and strategies secure the participation of all sectors of the community Work with the Communications and Corporate Assurance Teams to ensure that involvement opportunities are well promoted across local communities, identifying key groups, and taking account of different needs to ensure equal and diverse Trust membership, Board and Council of Governors Patient, Public and Carer Information Support the operational services in ensuring that core patient information is routinely reviewed, kept up to date, and appropriately displayed Support clinical and corporate services in ensuring our patient and carer information meets the requirement of the Accessibility Information Standard Lead on the update and review of the Trust's patient and carer information policy including compliance with all local and national standards for accessibility and transparency As required, contribute to the production of clear and effective information for patients, their carers and other service users/visitors Responsibility for information resources Responsibility for the operation of information system regarding members, volunteers and people who become involved with the Trust. Currently provided via Civica. Responsibility for working with TRAC and other database management in the recruitment of volunteers, including ESR, Excel, Civica. Other Responsibilities To develop and maintain strong working relationships with senior operational staff, particularly Associate Nurse Directors, Service Managers and Modern Matrons. To support the Head of Quality and Promises, ensuring that key themes from all aspects of patient and public volunteering and involvement are shared at strategic and operational level within the organisation To act as a champion for patient and public volunteering and involvement and learning To support the development of the strategic patient experience and involvement plan/promises 3 and 5 To be a flexible member of the wider professional directorate, working closely with colleagues across the division to support improvements and turning learning from feedback into action To manage/supervise junior colleagues where appropriate, and with the direct support of senior colleagues to manage partnership contracts on a day to day basis Work flexibly, being prepared to perform other duties commensurate with the role which may include new areas of operation following consultation
