The successful candidate will be the warm, welcoming face of the Hotel and the first and often the first/ last point of contact for guests arriving and departing the Hotel. The Front Office Supervisor will maintain the smooth running of the Reception area and assist in the supervision and training of reception staff on a day to day basis. CANDIDATE PROFILE Receive guests on arrival ensuring a warm welcome and accurate recording of their details into the computer system efficiently and discreetly. Maintain Dalmahoy Hotel and Country Club operating procedures ensuring standards are achieved and maintained in the Front of House area. Maximise hotel revenue by upselling, following yield strategy, following overbooking guidelines and liasing with Reservations on a daily basis. Have a comprehensive knowledge of the Hotel’s facilities and any promotions taking place so as to offer accurate information to guests. On departure, ensure that guests’ personal details and billing information is correct. Responsible for the security of all monies, floats, keys, safety deposits etc. within the Reception Department. Observe and implement procedures for fire prevention, fire fighting and evacuation. Be able to deal with advance reservations, taking bookings and special requirements, where necessary. Handle telephone enquiries and deal with messages and reservations as required, in an efficient manner. Post all transactions on a regular basis, to ensure that all bills are kept up to date. Ensure they are correctly posted to the correct bills. Prepare cash for banking on a daily basis. Complete receipts for all monies received from pay-ins etc. Operate proper care regarding rates and currency handling. Deliver an effective and thorough handover system between each shift. Ensure all rooms have enough credit card authorisation. Deliver training to Front Office team, ensuring everyone is trained to the Company standard, including New Hire department induction, statutory Fire, Health & Safety and any other relevent training as required. Ensure that stock levels of inventory necessary for Front Office operations are kept within set guidelines.
