Our client is currently looking for a Helpdesk Administrator to provide support to our Facilities Management Client based in Exeter. This role will involve being the first point of contact at the helpdesk and ensuring the successful management of all jobs reported. Responsibilities include day-to-day management of the helpdesk and administrative functions, as well as allocating work orders to internal/external contractors. The Facilities team provides integrated asset management and maintenance services across various sectors to ensure optimal operation of facilities.
Job Title: Helpdesk Administrator (FM)
Length of contract: 3 months - possible permanent contract for the right candidate
Hourly Pay: £12.56
Hours and Days of Work: Monday - Friday 08.00-16.00 or 09.00-17.00 alternative weeks.
This is a full-time, on-site role with no remote working.
What you will be doing:
1. Answering helpdesk inquiries and dealing with general enquiries.
2. Logging calls/tasks on the helpdesk database using helpdesk software.
3. Tracking job progress against rectification times and implementing escalation procedures.
4. Reporting back to clients and contract staff on job progress and close-outs, including requesting extensions where applicable.
5. Taking ownership of the PPM/holiday schedule and Reactive Maintenance jobs to ensure all tasks are completed within allocated response times.
6. Reporting and recording of sickness.
7. Processing of overtime.
8. Booking and monitoring of agency staff.
Key requirements:
1. Over 1 year of Help Desk Facilities Management experience within a challenging environment is essential.
2. Excellent written and oral communication skills.
3. Strong motivational skills.
4. Excellent people skills, diplomacy, and tact.
5. Ability to liaise confidently and professionally at all levels.
6. Working knowledge of public sector establishments.
