Salary Range - £34K - £38K
MUST have Cvent or similar experience, knowledge & experience of TOV reporting is important.
To lead and manage a delegate team on assigned pharmaceutical events, focusing on the successful creation, management, and delivery of event registration, attendee management, and technology solutions. As a Delegate Manager, you will be responsible for overseeing various elements of the event lifecycle, ensuring that the project is executed efficiently, aligning with the client's business goals, and maintaining high-quality standards.
Key Responsibilities:
Client Management:
* Participate in client update calls, ensuring timely and accurate updates on event registration.
* Collaborate with Delegate Managers and Coordinators to prepare for project update calls.
* Understand and deliver on client objectives, addressing queries and challenges proactively.
* Support RFP responses and pitch documentation, attending meetings as needed, and presenting to external stakeholders.
Operational Delivery Management:
Delegate Management:
* Attend kick-off meetings to gather requirements and align internal and external teams.
* Oversee project timelines and resources, ensuring milestones are met.
* Supervise and support team members in managing event communications, ensuring accuracy and timeliness.
* Analyse registration data and provide actionable insights to optimize project outcomes.
* Manage event logistics such as travel, hotel, and room block coordination.
* Utilise event technology (Cvent, Excel) to support the registration and event management process.
* Ensure event websites, emails, and reports are effectively managed, tested, and updated.
Pharma Know-How:
* Lead projects involving congresses, investigator meetings, and advisory boards.
* Stay updated on pharmaceutical regulations, codes of conduct (e.g., PhRMA, EFPIA), and compliance protocols.
* Ensure adherence to local healthcare regulations regarding meal and hospitality expenses.
Reporting and Data Management:
* Generate and analyse event reports to meet client expectations and industry-specific requirements.
* Lead post-event reporting, including budget reconciliation and supplier analysis.
* Ensure compliance with GDPR and data privacy regulations.
Budget and Finance Management:
* Accurately track and report project expenses, ensuring cost savings and value-added services.
* Manage supplier negotiations, identifying cost-saving opportunities.
* Monitor and ensure accurate recording of team time against budgets using Clockify.
Team Leadership and Development:
* Provide leadership and guidance to junior team members, ensuring effective delegation and project delivery.
* Support training initiatives and contribute to the growth of team members.
General Responsibilities:
* Collaborate with senior management and peers to ensure effective project delivery.
* Attend company training days and meetings as required.
Required Skills & Experience:
* Proven experience in managing pharmaceutical events (e.g., congresses, investigator meetings).
* Strong communication skills, both with clients and internal teams.
* In-depth understanding of pharmaceutical industry codes, compliance standards, and regulations.
* High-level proficiency in Cvent and Excel.
* Experience in event technology solutions, multi-path registration, travel & hotel modules, and email communications.
* Strong budget management and reconciliation skills.
* Ability to lead and motivate teams while ensuring high-quality standards are met.
