In this role you will provide administrative and secretarial support, alongside supporting the efficient working of the department's.
This will include diary and email management, booking meetings, supporting committee work, travel and accommodation arrangements, and more.
Duties:
* Prioritise business and handle complex situations and schedules.
* Arrange and minute budget meetings and follow up on actions.
* Supervise administrative members of staff and devise and implement office administrative systems and procedures.
* Identify priority items of business and allocate tasks to staff accordingly.
* Reply to a range of issues on behalf of Prof James Sheppard.
* Organise efficiently the arrangements for meetings, events, and conferences held at the University and other venues as appropriate, producing comprehensive briefing documentation.
* Make national/international travel arrangements and provide associated administrative support.
* Prepare agendas, write minutes, and ensure business is dealt with in a timely manner. Identify actions and ensure decisions are effectively implemented.
Selection Criteria:
* Previous EA/PA experience is essential. Candidates without this will not be considered.
* Demonstrable experience of complex diary management, managing competing demands, and able to prioritise requests.
* Experience of making complex travel arrangements and associated bookings.
* Excellent written communication skills, able to draft correspondence (letters, reports, etc.) which is well-structured, clear, and tailored to the audience.
