Scheduling Manager We are currently looking for a Scheduling Manager to join The Sovini Group. As a Scheduling Manager, you will be expected to: Ensure all operatives diaries are maximised. Ensure all jobs are closed correctly and where appropriate secondary appointments are made and customers kept up to date. Monitor the dashboard throughout the day. Manage, mentor, and develop a team of scheduling coordinators to ensure efficiency and effectiveness in scheduling trade works Oversee the scheduling of all trade works for social housing projects, ensuring alignment with project timelines and resource availability. Proactively identify scheduling issues and bottlenecks, implementing solutions to maintain workflow and meet project deadlines. To ensure all appointments are kept and identify any failings due to no access or operative failures. Work closely with project managers, contractors, and internal stakeholders to gather requirements, resolve scheduling conflicts, and facilitate smooth communication among all parties involved. To ensure colleagues pre-call all customers prior to their appointment to confirm operatives attendance utilising all systems available for contact details. To monitor teams diary throughout the day to ensure appointments are kept and warn tenants of any delays, re-scheduling where appropriate and to manage no-access jobs by researching alternative contact details prior to authorising carding of address. Track project progress, resource allocation, and scheduling metrics; prepare and present reports for management to support decision-making Ensure all diaries are checked 24 hours prior for appointments requiring support for neighbourhood officers and 2 person assists. Warning markers for zero codes are to be identified and reiterated to all operatives. Develop, implement, and optimize scheduling processes and tools to enhance productivity and reduce downtime. Monitor and appoint dashboard jobs left by the customer service centre due to no availability of appointments and take necessary steps to arrange appointments as appropriate. Ensure all jobs attended and identified as requiring authority are passed to the client for authorisation. Sense check all failed KPIs as identified by Performance Management on a weekly basis and contact tenant / operative to confirm failure cause and re-schedule as appropriate or feedback root cause for further investigation by supervisors. Liaise with Customer Service Centre management and SPS supervisors to ensure all necessary follow up works are detailed and scheduled. Meet appraisal targets and support the delivery and achievement of overall business objectives. To be successful in a Scheduling Manager role, the skills you will need : Educated to GCSE level including English and Mathematics Experience of managing schedulers within the social housing industry. Experience of diarised appointment systems with ability to work with an understanding of technical issues Excellent IT skills including Word, Excel, Outlook etc. Excellent organisation and time management skills Customer Service experience Ability to understand and use (BI) business intelligence reporting Knowledge of current social housing regulations and AWWABS law implementation HHSRS Awareness with the associated risk to customers React to changing workloads quickly and efficiently to ensure maximum productivity with operatives diaries To communicate effectively with team members, operatives, tenants and sub-contractors Ability to organize and work under pressure in a fast-paced changing environment Flexible with ability to take on additional tasks as required Eye for detail and confident in delivering concise instruction Able to converse confidently with staff, operatives, tenants and sub-contractors Ability to act on own initiative and prioritize quickly Excellent communication skills, able to communicate across multiple channels including Microsoft Teams, Face to Face and Email.
