We are currently seeking a highly motivated and organised Business and Service Administrator to join our team and provide comprehensive administrative support to our service department, marketing team, and IT Manager. You will play a crucial role in ensuring the smooth and efficient operation of our service department while providing valuable support to other areas of the business. Specifically, you will: Service Administration: Maintain the service management system, ensuring accurate and up-to-date records. Create quotations for parts supply, parts & fit, ad-hoc service work, and maintenance contracts. Log and process received orders promptly and efficiently. Handle customer enquiries, keeping detailed records of all discussions and correspondence. Use the company CRM system to support customer enquiries and ongoing service development. Investigate and resolve customer complaints, incidents, and queries, escalating issues to line management when necessary. Ensure incoming and outgoing email volumes are current and dealt with appropriately. Follow up on quotes, actively progressing opportunities to conversion and identifying reasons for lapsed accounts. Ensure all test equipment is calibrated and that engineers have the necessary equipment kits to perform their daily activities. Arrange travel and accommodation for service engineers as needed. Work with the business to improve customer service procedures, policies, and standards. Develop and maintain in-depth knowledge and understanding of the company's products and services, keeping abreast of changes and updates. Raise customer invoices accurately and in a timely manner. Marketing Support: Support the sales team by organising marketing materials for events, such as brochures, presentations, and promotional items. Maintain marketing materials and order new stock as required. Manage the marketing website enquiries database and be the first point of contact with our external marketing team. Assist the marketing team with internal communications, including newsletters, announcements, and company updates. IT Support: Provide IT admin support to the IT Manager, such as tracking hardware inventory, and maintaining IT documentation. Log and track IT support requests, escalating issues to the IT Manager as needed. About You: To join us, you will need: Previous administrative experience within a busy environment, ideally within a service or engineering industry. Excellent organisational skills and a proven ability to multitask within a fast-paced environment. Strong initiative and problem-solving skills, combined with meticulous attention to detail. Ability to build effective relationships with line managers, employees, and associates at all levels of the business. Excellent IT skills, particularly in Microsoft Excel and Word, with experience using CRM systems. Ability to demonstrate a positive attitude and a strong work ethic. Excellent communication skills, both written and verbal, and the ability to engage effectively with others. Ability to work confidentially and maintain discretion at all times.
