Shaw healthcare is a care provider operating circa 65 care homes and supported living services across the UK and is the largest employee owned healthcare company in the UK. Based in St Mellons, Cardiff an opportunity has arisen for a Compliance and Governance Coordinator to work within the Compliance and Governance Team.
Salary: up to £32,000 pa
Hours: Monday - Friday 9am - 5pm working 4 days per week in the office with 1 day working from home once induction has been completed.
Objectives
1. Provide high level functions & support to the Compliance Team - Compliance Managers, its Head and Director & a wider corporate function.
2. Make a significant contribution to the achievement of the group’s key quality objectives by providing a high standard of support, direction and outputs to all areas of the business, ensuring that clear, accurate and relevant support and information is available on a timely basis.
3. Undertake appropriate training as requested by the Head of Compliance & Governance and be committed to own continuous professional development.
4. Carry out any other reasonable duties as requested by the Head of Compliance & Governance.
General Management
1. Collation, formatting, distribution and reporting of the Compliance Audit programme.
2. Attend meetings, organize and take minutes for the Compliance Team Meetings, Quality & Policy Forum and Health & Safety Meetings.
3. Assist with the continual attainment of the ISO 9001 & 27001, assist with ISO 18001 & 14001 certifications.
4. Prepare submissions to all regulators and ensure central verification of:
* Registrations of Homes, Managers and Variations
* CQC PIR, CIW Annual Returns & equivalent
* Submission of notifications via the portals, including reporting & recording.
* Formal response to Inspection reports.
1. Work within Shaw systems (including but not limited to) Service Improvement Plans, Audit system, Incident Management System, My. Shaw portal, G drive.
2. Identify correspondence of an urgent or sensitive nature and ensure it is brought quickly to the attention of the appropriate person.
3. Fulfill role of central complaints administrator & respond to compliments.
4. Ensure compliance with GDPR and Data Protection legislation including leading on and fulfilling all Subject Access Requests.
5. Coordinate with HR to fulfill the Scottish Social Services Countersignatory & Social Care Wales Countersignature roles.
6. Support with Policy Review Group, policy updates, dissemination and system updates.
7. Ensure services remain compliant with NHS Capacity tracker submissions.
8. Assist with the updating of Service User Guides and Statement of Purpose’s.
Information Security Responsibilities
1. Understand responsibilities for sharing information, care of equipment and remaining confidential and private.
2. Lead on all salient record requests and assist with data protection queries.
3. Ensure compliance with legal obligations when releasing data/records.
Relationships
1. Ensure escalation of queries to relevant persons are completed and followed up within reasonable timeframes.
2. Lead on archiving procedures and liaise with services and our archiving provider.
3. Assist in coordinating KPI information for the Compliance Team, associated Shaw committees and groups.
4. Coordinate the informing, distribution and responding to legal representatives and Coroners.
5. Have practical knowledge of GDPR and Data Protection and regulatory issues and practices, including safeguarding.
6. Possess excellent organisational and analytical skills and attention to detail.
7. Exhibit excellent interpersonal, relationship management, communication and presentation skills; to liaise with Service Users, relatives, the public and public service staff.
8. High level IT skills - fully conversant with Word, Excel, Databases, PowerPoint, Outlook including email.
