We are currently recruiting for a Planner to join our Customer Service team. Please note this is initially on a 6 Month FTC and is a fully office-based role.
Accountabilities/Responsibilities:
1. Day-to-day planning of the operatives (direct and subcontractors) to ensure all jobs are adequately allocated, attended, FOW raised, jobs re-booked or closed off as necessary on a daily basis.
2. Reviewing jobs on Dynamics and feeding back into reports as well as raising any risks to Operational Management.
3. Ensuring all appointments booked are met on time with correct allocation, operative and materials required and subsequent jobs booked with residents updated at all times to ensure a positive customer experience.
4. Checking/allocating all booked jobs ahead of appointments.
5. Daily tracking of jobs and PDA usage (Ops accepting, closing jobs, adding notes, FOWs, SORs etc.)
6. Ensure all Ops diaries are reviewed to ensure appointments are met and closed off with FOWs at COP.
7. Ensure all emergencies are appointed and allocated promptly (2 hours attendance) throughout the day.
8. Daily Monitoring of jeopardy to ensure no jobs are booked out of target and monitor absence levels to ensure all jobs are completed.
9. Daily monitoring of overdue orders. No more than 20 overdue jobs at any one time.
10. Liaising and calling back completion sheets from subcontractors.
11. Monitor allocations of work when cancellations occur (no operative should be waiting longer than 15 minutes).
12. Materials coordination as and when required. Advising engineers/supervisors.
13. Book-in authorised VO’s/Quoted FOWs (passed via admin team and authorised by Operations team).
14. Booking/re-allocating operative annual leave, sickness, training, TBT, van breakdown etc.
15. Subcontractor updates & diary management.
16. Updating Dynamics with notes of action etc.
17. Cooperating with the planning supervisor and teammates as and when required.
18. Working with other teams/operatives/Subcontractors to cover another planner/call Centre advisors’ AL, sickness and at busy times of the day.
19. Ensuring Repairs Inbox is regularly reviewed and all jobs raised within 48 hours.
This role would suit someone who has a background in dealing with Responsive Repairs or Planning/Scheduling working in a fast-paced environment.
