Customer Service Advisor

As a Customer Service Advisor, you will be part of the Projects team where you will coordinate and deliver exceptional administrative support to both internal and external clients, ensuring seamless operations across our Proposals, Customer Service, and Project Teams. This role is pivotal in maintaining business continuity and flexibility within our commercial functions.
Key Responsibilities:
Proposals Function:
1. Manage and compile quotations and tenders from initial client contact to purchase order contract review.
2. Conduct detailed technical assessments and liaise with various departments to ensure accurate and competitive quotations.
3. Prepare and submit quotation packages, ensuring timely and professional customer communication.
4. Verify purchase orders against quotations and prepare handover packages for the execution team.
Execution Function:
1. Oversee the order process for regular business and projects, ensuring timely delivery and client satisfaction.
2. Hold weekly project/order review meetings and provide status reports.
3. Serve as the single point of contact for the designated site, addressing all relevant issues.
4. Monitor order status and implement recovery plans as needed.
5. Coordinate with the dispatch department to ensure prompt and accurate order dispatch.
Project Team Responsibilities:
1. Manage higher complexity projects as part of a team comprising a Project Manager, Project Engineer, and Project Coordinator.
2. Process orders in SAP, initiate material procurement, and start production activities.
3. Liaise with purchasing to ensure orders are placed and tracked accurately.
4. Monitor daily progress by interrogating SAP, ensuring timely material arrival and production linkage.
5. Coordinate shipments, create packing lists, and communicate with customers for pickup.
6. Handle invoice and other queries throughout the project lifecycle.
Document Control:
1. Understand customer documentation requirements for review and approval.
2. Send documents to customers, track their status, and ensure timely approvals.
3. Collate test reports, material certificates, and build comprehensive dossiers.
4. Track, chase, and upload documents to portals, ensuring all certifications are properly documented.
Qualifications/Experience:
1. Proficiency with SAP or MRP systems and document portals (e.g., SharePoint, PIMS, Ariba).
2. Strong skills in Microsoft Office (Word, Excel, Outlook) and the ability to export data from SAP to Excel for reporting.
3. Commercial awareness, understanding the order-to-invoice process.
4. Experience in manufacturing is a bonus, but candidates from diverse backgrounds like retail or government sectors are welcome.
5. A willingness to learn and an interest in process improvement.
6. Strong decision-making and problem-solving abilities.
7. Excellent communication skills, both written and oral.
8. Detail-oriented with strong numerical skills.
9. Ability to work under pressure and meet deadlines.
