Job overview
The post holder as a member of the Safeguarding secretariat will be responsible for providing a full range of administrative support to the UHB Safeguarding Team, which includes the safeguarding nursing advisors, Health IDVA, violence prevention unit, safeguarding midwife and named nurse for safeguarding.
* Maintain good communication skills as you will be required to liaise with outside agencies, e.g. police / social services etc., in a competent and confident manner.
* Deal with enquiries promptly and sympathetically.
* Establish and maintain an up to date filing system for members of the Safeguarding Team.
* Process incoming and outgoing mail for the Safeguarding Team.
* Undertake any appropriate training as determined/agreed with the Named Nurse for Safeguarding.
* Behave always in a manner that ensures confidentiality and promotes a positive profile.
* Support the P.A. to the Head of Safeguarding in ensuring the Domestic Violence Information Sharing Protocol is implemented.
* Appropriately respond to adult at risk referrals. Input information on database and forward to Health Lead Practitioners (HLP).
* Provide Woodlands office and UHW with cover for colleagues within the Safeguarding secretariat.
* Support the P.A. to the Head of Safeguarding to ensure smooth delivery of administrative support when P.A. is absent.
* Undertake any duties that may arise and are commensurate with the grade.
Main duties of the job
* To provide full administrative support for the Safeguarding Team, which includes the receipt and appropriate distribution of messages.
* Prepare and produce documents for the Safeguarding Team e.g. court reports, letters, memos etc.
* Maintain an appointment diary for each member of the Safeguarding Team.
* Co-ordinate and arrange meetings on behalf of the Safeguarding Team.
* Receive telephone calls, ensuring that effective systems are in place to deal with and record messages appropriately.
* Liaise with professional staff groups within and outside the UHB on behalf of the Safeguarding Team.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
