Key Responsibilities: As a Business Support Assistant, you will play an essential role in the day-to-day operations of the business, ensuring everything runs smoothly and efficiently. Post Management: Open, categorise, and distribute incoming post. Collect, frank, and arrange outgoing mail, including special and recorded deliveries. Document Processing: Manage the digital mailrooms and bulk scanner, ensuring documents are applied accurately to internal systems. Reception & Hospitality: Greet visitors, handle deliveries, and manage associated hospitality tasks. Payments & Cheques: Prepare bank paying-in books, handle cheques/monies, and ensure scanning to relevant systems. Office Coordination: Order office stationery, sundries, and client lunches, while ensuring the maintenance of printers and postal equipment. Event Assistance: Support with organising staff events. Expense Management: Reconcile expenses for the Executive Assistant. Portal Management: Manage Debt Management Company portals, logging offers and queries, and providing timely responses. Court Documentation: Handle and prepare time-critical court documents, including bundles and serving charging orders. Outbound Communication: Make outbound calls to third parties, supporting the team with essential tasks. Security & Staff Support: Issue security passes and assist with ad hoc tasks as needed. What You’ll Need: The ideal candidate will be proactive, organised, and confident in delivering exceptional administrative support. Strong analytical skills with a keen eye for detail and confidence to challenge when necessary. Excellent verbal and written communication skills, with a professional telephone manner. Good IT proficiency, including a sound working knowledge of MS Office. Ability to actively listen and respond effectively to internal and external stakeholders. Organisational skills with the ability to manage multiple tasks effectively. Ability to work independently and as part of a team in a fast-paced environment.
