Please note that this role is for an initial 12 months, this role will also require weekly attendance of 1-2 days per week in
office, and for meetings and events as required.
Job purpose:
To support the effective operation of BACP’s divisional committees and organisational special interest leads (SILs) through
providing day-today contact with divisional executives ensuring smooth coordination, communication, and execution of divisional
activities. Ensuring BACP remains proactive and innovative in its offering, maintaining its position as a market leader in areas
of member service. Contributing to a defined member proposition that improves member satisfaction, loyalty, and retention, whilst
also increasing visibility of BACP, to the general public.
Principal accountabilities:
* Provide comprehensive day-to-day support to divisional executives and BACP SILs, ensuring high levels of operational efficiency
and excellent member service. This includes the management of the BACP divisional inboxes and telephone/zoom communication.
* Foster and develop a positive working relationship between divisional executives/members and BACP departments through clear and
effective communication and attendance at all the quarterly divisional executive meetings.
* Ownership of the planning and co-ordination of divisional executive meetings. Responsibilities include; agenda creation and
circulation; maintenance of action trackers; presentation creation; minute taking and distribution.
* Understand the work of BACP and apply this knowledge to support and enhance existing internal and external working
relationships encouraging collaborative working and improved member satisfaction, recruitment and retention.
* To support development and promotion of BACP divisional activities. Including encouraged attendance at BACP
events; collaboration with the divisional journal editors and play an active role in the recruitment process of new executive
members
* Administration ownership of collating and updating divisional data relating to activities, membership and performance metrics.
Ensure divisional activities adhere to BACP policies, procedures, and association requirements.
* To provide support in the management of divisional budgets in accordance with BACP policies. Responsibilities include regular
reporting on financial activity of the divisions in their quarterly meetings. This excludes management of the journals budget.
* Contributes to the development and maintenance of systems and processes within the team. Identifying opportunities for process
improvement and efficiency within divisional operations, proposing and implementing solutions where applicable.
Knowledge & experience:
* Qualified to GCSE level or equivalent.
* Proven significant experience in an administrative environment or equivalent experience, with excellent working knowledge of
office systems and procedures.
* Strong organisational skills and ability to prioritise own work drawing on experience to make sound judgements and
meet multiple deadlines.
* Administer established systems and processes in support of the team
* Self-sufficient and accountable for meeting own objectives, targets and tasks.
* Communicates effectively both orally and in writing.
* Excellent at building relationships with a diverse range of needs. This is both with internal and external stakeholders
* Able to give information and straightforward guidance
* Be accountable for achieving targets and tasks in line with organisational policy and procedure
* A proactive and adaptable approach to work, with a willingness to take on new challenges and learn new skills.
* Work with established policies and procedures to provide a support service to the divisional committees.
* Experience of working with MS Dynamics
* A knowledge and understanding of counselling and the wider professions
* Experience of working within a non-profit or membership organisation
