Key Responsibilities We are currently hiring an Integrated facilities management Coordinator to join our team based in Cambridge. The successful candidate will support the IFM Manager and Admin Team by delivering proactive administrative support and helping to develop the contract across all service areas. Main Duties Include: Managing communication with IFM suppliers and contractors for campus and office operations, including daily contract oversight and coordination with site teams. Supporting tenant management activities such as lease contract administration, service and utility fee tracking, ongoing communication, dispute resolution, and facility-related matters. Assisting in the planning and execution of various office and campus projects (e.g., office decoration, relocations, small renovations). Contributing to supplier management including contract tracking, KPI monitoring, and maintaining cooperative working relationships. Managing office environments, including space planning and daily operational needs, tracking repair requests, and ensuring timely completion of services. Ensuring Planned Preventive Maintenance (PPM) schedules are properly set and adhered to, maintaining compliance with requirements. Person Specification Required: Minimum 1 year of experience as an IFM Coordinator or in a similar administrative/facility support role. At least 1 year of experience in supplier or team management. Strong verbal and written communication skills. Fluent in English (spoken and written). Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Team-oriented with the ability to work in an international environment. Results-focused with excellent organizational and time-management skills. Ability to meet tight deadlines and adapt to changing business needs. Desired: Background or formal qualification in Facility Management or Construction Management. EHS (Environment, Health, and Safety) qualifications. Real Estate-related qualifications. Mandarin language skills (in addition to English) are a strong advantage. IOSH certification. Familiarity with IFM-related compliance requirements.
