We are seeking a highly organised and proactive Executive Assistant to provide administrative support to the Chief Operating Officer, the Chief Financial Officer and the Legal Head. This role involves handling a variety of high-level executive and administrative tasks, managing the executives’ schedules, coordinating meetings, and serving as the primary point of contact for internal and external stakeholders. The ideal candidate will be adaptable, able to prioritise tasks, and have a high level of discretion and confidentiality.
Responsibilities
1. Executive Support:
* Provide day-to-day administrative support, including calendar management, scheduling, and email correspondence.
* Coordinate complex meetings, conference calls, and video conferences, ensuring proper setup of all logistics.
* Handle correspondence and prepare reports, presentations, and other documents on behalf of the executives.
* Prioritise and follow up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature.
1. Calendar and Travel Management:
* Manage the executives’ calendars, scheduling meetings, events, and appointments, ensuring efficient time management.
* Coordinate travel arrangements, including flights, accommodation, and transportation, and prepare detailed itineraries.
* Track and process expense reports and reimbursements in a timely manner.
1. Meeting Preparation and Coordination:
* Prepare agendas, briefing documents, and presentations for meetings.
* Attend key meetings, take notes, and distribute minutes while ensuring follow-up on action items.
* Organise internal and external meetings, including room bookings, catering, and technology setup.
1. Stakeholder Communication and Liaison:
* Act as a primary point of contact between the executive and internal/external stakeholders.
* Facilitate communication and follow-up on requests for information or updates.
* Maintain strong professional relationships with clients, partners, and other key contacts.
1. Project and Task Management:
* Assist in managing projects, tracking progress, and ensuring that deadlines are met.
* Research and compile information to support decision-making and strategic initiatives.
* Act as a point person for internal projects and ensure alignment with broader company objectives.
1. Office and Administrative Management:
* Ensure smooth day-to-day operations of the executives’ offices.
* Maintain document filing and organisational systems to ensure easy access to critical information.
* Manage incoming and outgoing communications, ensuring timely and appropriate responses.
1. Confidentiality and Discretion:
* Handle sensitive and confidential information with utmost discretion.
* Ensure the executive is fully briefed and prepared for all engagements.
* Act as a trusted gatekeeper to ensure effective time management and prioritisation.
1. Event Planning:
* Organise company events, leadership offsites, and team-building activities as needed.
* Ensure all event logistics are smoothly managed and align with company values.
Experience
* Proven experience as an Executive Assistant, Administrative Assistant, or similar role, preferably supporting senior executives.
* Excellent organisational and time-management skills.
* High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Zoom, Teams, Slack).
* Strong written and verbal communication skills.
* Ability to handle multiple tasks and projects with a high degree of efficiency.
* A proactive mindset with the ability to anticipate needs and provide solutions.
* High level of professionalism, integrity, and discretion in handling confidential matters.
* Strong attention to detail and the ability to prioritise in a fast-paced environment.
Preferred Qualifications:
* Experience working in a high-paced corporate environment.
* Previous experience supporting executives.
