We are looking for an enthusiastic and detail-oriented HR Administrator to join our HR team and provide high-quality administrative support to ensure the smooth functioning of our HR operations; supporting our people and processes.
As an HR Administrator, you will be at the heart of our HR operations, ensuring the smooth delivery of HR services across the business. From maintaining accurate employee records to coordinating recruitment, this role offers a diverse and rewarding opportunity to contribute to our people-focused initiatives.
Key Responsibilities
1. Maintain and update employee records in our HR systems, ensuring data accuracy and compliance.
2. Coordinate recruitment processes, including posting job ads, arranging interviews, preparing offers, contracts of employment and ensuring pre-employment checks have been completed.
3. Coordinate the onboarding process, ensuring new hires have a seamless experience.
4. Support in-house training and development initiatives by the HR team by issuing joining instructions and training materials.
5. Monitor absence records and support managers with queries regarding leave entitlement and policies.
6. Attend HR meetings to take minutes and provide administrative support for disciplinary, grievance, and employee forum sessions.
7. Administer employee benefits and compliance requirements, such as background checks and DVLA regulations.
8. Contribute to updating HR policies and preparing business-wide People Reports.
9. Provide general administrative support to the wider HR team.
10. Organise and maintain electronic HR files, ensuring compliance with GDPR and confidentiality policies.
11. Monitor and administer employee benefits, ensuring timely communication with providers.
12. Assist with pre-employment checks, including referencing and right-to-work verifications.

3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) Intermediate level.
4. Effective communication skills, both written and verbal.

6. Previous experience in HR administration or a similar role is desirable.
7. CIPD Level 3 qualification (working towards or keen to progress) is a plus.

Other information
Successful candidates will be willing to work a hybrid schedule based at the Glasgow Office, with a minimum of two days in the office and up to three days working from home each week.
