Responsibilities:
1. Be the welcoming face of our client's organisation by greeting visitors and clients with a warm smile.
2. Take charge of incoming deliveries, ensuring proper check-in and prompt notification to the recipient for collection.
3. Prepare and manage meeting rooms, as well as schedule meetings and coordinate catering.
4. Keep the meeting diary updated by sending regular emails to office staff.
5. Skillfully answer, direct, and document phone calls, maintaining detailed call logs.
6. Take charge of mail sorting and distribution, ensuring timely delivery to the relevant departments.
7. Utilise cost management software, with training provided by our client, to perform necessary tasks.
8. Maintain office supplies, including stationery, canteen items, and restroom supplies, ordering as required.
9. Assist with general office duties such as printing, meeting minutes, generating reports, and supporting social value initiatives.
10. Manage the delivery driver schedule and update the driver diary.
11. Update and distribute the contact list for our client.
12. Assist the Accounts department by processing daily tasks, such as organising invoices for weekly processing.
13. Oversee office maintenance, including addressing issues with gates, key management, car charging stations, utility bills, and more.
14. Manage inventory and stock, issuing items and ensuring timely reorders.
Requirements:
15. Previous experience in an administration role
16. Proficiency in Microsoft Word, Excel, and PowerPoint.
17. Strong communication skills and confidence in coordinating with various stakeholders.
18. Excellent time management skills and the ability to meet deadlines efficiently.
