The post holder will work within the Chief Operating Directorate supporting the Deputy Chief Operating Officer, Partnership Operations Director for Mindworks and the Director of Strategy and Transformation and be responsible for providing high quality, confidential and efficient business and administrative support in a timely and professional manner. The post holder will support their teams in their key internal and external relationships and in the achievement of their objectives to enable them to lead the organisation effectively and will be an essential team member and key to the smooth running of the Chief Operating Officer Directorate and the Deputy Chief Operating Officer directorate.
Main duties of the job
Main duties of the role include:
1. Organise and manage documentation for meetings and events, including preparation of agendas and minutes of meetings, tracking actions and timeframes as appropriate. Additionally, to attend any other meetings to take minutes as directed by line manager.
2. Be the first point of contact for the Partnership Operations Director for Mindworks and the Director of Strategy and Transformation managing, and as required, the Deputy COO and COO, for internal and external enquiries.
3. Ensure the Deputy Chief Operating Officer, Partnership Operations Director for Mindworks and Director of Strategy and Transformation have been briefed and have the required documentation for all meetings/events.
4. Organise and produce reports, papers, presentations and other similar documentation in accordance with organisational timeframes.
5. Provide effective diary management, ensuring that appointments are planned and coordinated, and run to schedule. Use independent judgement to prioritise high-level demands to ensure an appropriate balance in the daily scheduling in line with preferences, responsibilities or project plans.
6. Provide high quality support to meetings to ensure they are managed and delivered effectively including organising, attending and minuting ad hoc meetings and Corporate and/or Divisional wide events, sending calendar invites, identifying and securing suitable facilities.
