The Role
The Events and Warehouse Support role will help drive organisation and efficiencies in a busy shared warehouse environment, alleviate existing workload by providing general support for event planning and execution, and contribute to the overall effectiveness of the events and experiential team to help deliver business growth.
You’ll be responsible for prepping, loading, and unloading event items, creating and maintaining an events inventory system, and assisting on-site during load-ins, installation, and get-outs.
We have key peak times throughout the year with the requirement for occasional weekend work, overnight shifts, early starts, and working away on-site when needed, so we are looking for someone who can work flexibly but generally you'd be required in the Greenhub office/warehouse Mon-Fri.
Key Responsibilities
Event Preparation
* Assist organising, prepping, palletising, loading, and unloading required items for all events projects.
* Handle returns, including palletising, rehoming, or redistributing items to other departments.
* Perform post-event checks on returned items to ensure all equipment is returned, functional, and restocked for the next event.
Health & Safety Compliance
* Ensure all warehouse activities comply with health and safety regulations, maintaining a safe working environment.
Inventory Management
* Create and maintain accurate inventory records using the SnipeIt system, ensuring timely cataloguing of all items.
* Conduct regular inventory audits and monitor stock condition, reporting any items needing repair or replacement.
* Organise and maintain inventory to facilitate quick access, helping reduce costs by reusing items effectively.
* Carry out maintenance tasks such as cleaning, repairs, and painting of event inventory.
* Perform basic carpentry tasks, such as modifying or repairing items for reuse.
* Operate forklifts as needed (Existing forklift licence desired but not essential, training will be given to successful candidate).
* Organise PAT testing of electrical items.
Sustainability Initiatives
* Support Lush’s sustainability goals by maximising the reuse of materials and reducing waste.
* Coordinate recycling and rehoming of event materials as necessary.
Warehouse Oversight
* Maintain a presence in the warehouse to oversee movements and prevent conflicts with scheduled work in the shared facility.
* Regularly inspect and maintain the warehouse to ensure a safe working environment (checking for potential hazards, ensuring clear pathways, proper stacking of pallets, items, etc.).
* Attend warehouse management meetings when required, sharing event updates, upcoming projects, load outs etc to maximise building efficiency and flagging any issues or potential risks to operations.
Logistics Coordination
* Support the team in managing movements with external and internal logistics teams, supporting the efficient delivery and collection of event items.
* Organise efficient transport of items between the warehouse, stores, and event locations.
* Collaborate with the team to explore sustainable and cost-effective solutions for packaging and transporting items safely.
On-Site Event Support
* Assist on-site during event setups and breakdowns, including working overnight or away when required.
Vendor Coordination
* Liaise with external suppliers and service providers to arrange deliveries, repairs, and other support services for events and the warehouse.
* Ensure timely communication with suppliers regarding deliveries or issues with materials or equipment.
Cross-Departmental Assistance
* Fulfil shop or business area requests for event materials, ensuring timely packing and loading for their needs.
* Regular monitoring of the events inbox, responding to shop event enquiries and inventory requests when other team members are unavailable.
Documentation and Reporting
* Maintain detailed documentation of warehouse activities, including inventory movements, shipments, and damage reports.
Skills, Knowledge and Expertise
* Ability to manage multiple tasks and prioritize effectively, especially under tight deadlines.
* Strong verbal and written communication skills for liaising with suppliers, team members, and other departments.
* Address challenges proactively and provide solutions during event setups or logistical issues.
* Meticulousness in managing inventory records, conducting audits, and ensuring compliance with safety standards.
* Work effectively within a team, supporting colleagues and fostering a collaborative environment.
