THE IDEAL CANDIDATE The ideal candidate will play a key role in supporting the overall delivery of the single-family home model, aligning your efforts with company objectives, metrics, and policies. We need a technically minded individual to work directly with our Property Manager, who can assist with property handovers, defects and maintenance requests, compliance and scheduling of planned preventative maintenance. Additionally, you will collaborate closely with the Leasing team to facilitate a seamless handover of homes to our residents, giving an excellent service from the moment they reserve, assisting with referencing, preparing tenancy agreements, maintaining compliance, and ensuring all our homes are move in ready to the best standards. You’ll also assist with ongoing tenancy renewals, maintaining positive relationships with residents across all our communities. The role will be hybrid, working from either our Harrogate or Wetherby offices, working from home, and occasionally visiting our neighbourhoods when needed, you will report into the Operations Manager and work closely with the marketing, leasing and property management teams. Job Description Responsibilities include: Mobilisation Assist the Operations team to prepare for a smooth handover from the house builder Occasionally travel to site to support handovers, audits and maintenance requirements Ensure units are clean, well maintained and meet quality standards Assist to resolve any necessary snags and issues identified during handover Ensure property management systems are accurate, uploading reports and information as needed Work closely with the development team to assist with a smooth handover of information to the ops team Maintenance & Defect Resolution Be the first point of contact to assist residents with maintenance issues and defects Take ownership of the process to ensure our contractors efficiently resolve issues Support to arrange 3rd party contractors where needed to keep our homes and communities in top condition throughout, seeking approval and scheduling works as needed Oversee the defects process, ensuring prompt resolution within service level agreements. Leasing & Tenancy Administration Collaborate with teams to prepare homes for move in, ensuring cleanliness and readiness standards are as expected Technically support the leasing team to progress applications through referencing, assisting with preparation of tenancy agreements, licences and move in compliance documents Assist with preparing inventories, mid-tenancy inspections and check out reports Arrange repairs as necessary from check outs to ensure homes are ready for relet Assist to provide evidence and information to deposit scheme providers to recover applicable tenancy end costs as necessary Assist with check in appointments for our own leasing team, and ensure move ins are ready for our 3rd party agency partners Legal Compliance Stay updated on legislation, statutory health and safety inspections and leasing requirements Conduct regular inspections and health and safety audits Handle utility and council tax invoices to ensure smooth tenancy turnover and move in Assist to implement recommendations from health and safety assessments and audits Ensure compliance with all relevant laws and regulations. Ensure residents receive all compliance documents prior to move in to maintain lettings compliance Who You Are High attention to detail and a team-player with a can-do attitude, happy to support colleagues across departments where and when needed Exceptional communication, negotiation, and persuasion skills Genuine passion for property & commitment to safe working practices Ability to prioritize and manage high workloads during peak periods High levels of integrity and reliability, consistently meeting deadlines Solutions-oriented approach to drive positive outcomes and support all operational teams Experience And Skills Solid background in property/facilities management and an understanding of leasing Relevant industry experience or qualifications in leasing or property management Confident in working closely with the wider team and able to manage your time effectively to achieve your goals Intermediate proficiency in Microsoft Word, Excel, and Outlook - experience using property management software is preferred. Professional verbal and written communication skills, problem-solving skills, and an ability to handle conversations in a professional and customer-focused manner. Able to demonstrate an organized and professional approach and ability to prioritize.
