NURSERY ADMINISTRATOR
Pay rate: Up to £12.62 per hour
Contracted Hours: 30 hours per week
About the Role
Our Nursery Administrator’s will Communicate with parents to collect outstanding payments and liaise with Head office, Create new records and maintain existing children’s data and enter shift bookings and create batch weeks and Ensure that the Manager is aware of any appointments in their diary/calendar, and other administrative tasks.

Tops Christchurch Nursery is a 77 place Day Nursery & Pre-School situated in Priory Hall, Christchurch. The nursery run several extra-curricular activities including Tops Forest School, cooking school, Boogie Mites, yoga, meditation and much more!
What does the role involve?
* Upload new child and parent details into relevant systems.
* Manage session bookings, check occupancy levels, and provide feedback to parents and managers.
* Record additional needs, absences, and manage the leavers process, including processing refunds.
* Produce and send monthly, individual, and manual invoices promptly.
* Handle deposits, payments, and manage the debtor process in accordance with legal guidelines.
* Network with local authorities to stay updated on funding rules and deadlines.
* Identify eligible children for funding and update spreadsheets and profiles accordingly.
* Respond to phone and email inquiries.
* Enroll new children in the system, communicating with parents for access and activation.
* Ensure all profiles, details, and forms are completed accurately.
* Assist in promoting the nursery to maximize occupancy and income.
* Order meals accurately, considering allergies and dietary needs.
* Take minutes during staff meetings and distribute them to the relevant team members.
What are we looking for?
* Proven experience in an administrative role, ideally in an educational or childcare setting.
* GCSE grade C or Level 4 or equivalent
* Excellent communication and interpersonal skills.
* Strong organizational skills with attention to detail.
* Ability to multitask and prioritize workload effectively.
* Proficient in Microsoft Office (Word, Excel, Outlook) and other office software.
* Knowledge of safeguarding and early years regulations (desirable).
