Skanska has been appointed to the North West and Central Framework and allocated a bridge replacement project in Clifton, Penrith, Cumbria on the West Coast Mainline over the M6 Motorway. Skanska Infrastructure rail team are currently seeking an Office Manager to be the first point of contact for the site office and oversee day to day management and efficient running of the project office.
What you'll do:
* Set up and manage facilities to a high standard and help to present Skanska as a highly professional and well organised company.
* Be the single point of contact with the co-working company and organise access to the project team.
* Be the liaison with other Skanska Offices to facilitate the IT/IS matters, travel and meetings.
* Organising logistics for the monthly project meetings with the client team, including arranging travel for attendees.
* The role will also involve managing the project team calendar, diary management and recording of leave for the team, organisation of meetings and appointments which will involve liaising with internal and external parties whilst booking and assisting with travel and accommodation.
* Attend weekly plant and labour meeting with the Site operations team and manage Commercial Vehicles.
* Helping with the set up and induction of new starters and their requirements, including IT Accounts, in addition to new starters also leaver requirements.
* HR functions, record holidays. Record all absenteeism ensuring relevant Self Certificates and or Doctors certificates are obtained and authorised and passed to HR.
* Be responsible for Accounting Functions and invoicing passing.
* Working closely with the team and the sites to ensure suppliers invoices are approved for payment within the agreed terms and queries raised are quickly solved.
What you'll bring to the role:
* Administration functions completed efficiently and on time.
* Cost data to be accurate & submitted as per project and company timescales
* Competent with Microsoft Word, Outlook, Excel & PowerPoint
* Excellent communication & strong interpersonal skills
* Excellent organisational & time management skills with office management experience preferable
* Due to the nature/location of this role the successful candidate will need to hold a full UK drivers licence.
