JLL are currently recruiting for a dedicated and skilled Assistant Facilities Manager to support the Facilities Management team in delivering exceptional facilities services to occupiers across one or more managed properties. The successful candidate will work closely with the Facilities Manager(s) to ensure the highest standards of property management, adhering to JLL's best practices and understanding the business objectives of the investment.
Based at a premium asset site, this position offers an excellent opportunity for growth within a dynamic facilities management environment. The successful candidate will play a crucial role in maintaining high-quality standards across our managed properties while ensuring client satisfaction and operational efficiency.
Position: Assistant Facilities Manager (AFM)
Location: Chamberlain Square, Birmingham
Reporting to: Facilities Manager(s) (FM)
Key Responsibilities:
1. Facilities Management Support:
o Assist in delivering client KPIs as outlined in the Property Management Agreement (PMA)
o Support the implementation of 'Instinct' operational initiatives to enhance customer experience
o Aid in the smooth transition of properties into management and prepare for potential sales
o Ensure on-site management aligns with JLL's policies, processes, and procedures
2. Occupier Relations:
o Serve as the primary point of contact for day-to-day building operations
o Liaise with occupier representatives to resolve issues at the local level
o Provide advice and guidance on physical property operations
o Support the FM in addressing occupier matters that may impact property valuation/investment
3. Financial Management:
o Assist in setting and controlling service charge budgets
o Support quarterly variance reporting and reconciliation processes
o Aid in procurement activities, adhering to JLL's PAM procurement program
4. Contractor Management:
o Monitor contractor performance against agreed standards
o Help prepare site regulations and issue work permits for contractor activities
o Assist in the implementation of minor works
5. Health, Safety, and Compliance:
o Support the building's 'Social Responsible Management' activities, including H&S and environmental/sustainability initiatives
o Maintain, test, and implement disaster planning procedures and relevant procedures
6. Building Operations:
o Assist in managing building plant and equipment
o Take responsibility for building management systems where appropriate
o Monitor vacant/void property in accordance with client insurance policies
o Conduct site visits as per the program issued by the FM
7. Documentation and Record-Keeping:
o Establish and maintain proper site records following best practice rules
o Assist in developing and maintaining occupier handbooks
8. Team Collaboration:
o Work closely with various 'virtual teams' within the JLL Property Management team, including Client Relationship Directors, Contract Directors, Management Services, and Client Financial Services
Qualifications and Skills:
* Previous experience in facilities management or a similar role
* Strong understanding of building operations and maintenance
* Excellent communication and interpersonal skills
* Financial acumen
* Proficiency in Microsoft Office suite and familiarity with building management systems
* Ability to work independently and as part of a team
* Strong problem-solving and organizational skills
* Knowledge of health and safety regulations and environmental sustainability practices
