An opportunity has arisen for a Band 2 Administration Assistant to join our team in Central Inpatients.
As first point of contact for patients, visitors and staff, we are looking for an enthusiastic, committed, motivated individual with excellent communication skills to provide a front of house service in Hadrian Clinic.
Currently based at the Campus for Ageing & Vitality, Newcastle upon Tyne, the post is full-time, Monday to Friday, 9.00 a.m. - 5.00 p.m.
We have 5 wards based on the Campus, along with rehabilitation wards in Gateshead and on St Nicholas Hospital site. Our service provides inpatient care for adults and older adults who require hospital admission for assessment and treatment. Our rehabilitation wards support individuals with complex mental health needs requiring longer term support.
The successful post holder will be a member of our admin team who support the multi-disciplinary clinical teams to provide a comprehensive, high quality administrative service. The post holder must have proven administration experience including facilitating excellent customer service and be confident in dealing with service users face to face as well as on the telephone. You will undertake a variety of duties including telephone and reception duties, dealing with queries, updating our patient information system, sorting incoming/outgoing post, completing work from a shared inbox as well as other administration tasks under the direction of the Administration Team Lead., Candidates must be able to demonstrate proven admin experience within the last 12 months. Working on the reception desk, the main duties of the role will include:
meeting and welcoming visitors to Hadrian Clinic
receiving telephone calls, answering queries or redirecting calls in a polite and helpful manner
issuing security equipment to staff
booking out pool cars
booking meeting rooms
organising transportation of specimens to other hospital sites
filing, scanning, photocopying, laminating
The post holder will also undertake additional duties such as ordering supplies, requesting repairs, sorting and distributing post. This list is not exhaustive.
