As we expand our global footprint, we are looking for a highly organised and detail-oriented Supply Chain & Export Coordinator to join our team.
Job Summary:
The Supply Chain & Export Coordinator is responsible for managing the smooth and efficient processing of domestic and international orders. This includes order input, preparing export documentation, coordinating shipments, and liaising with internal teams and external customers to ensure that orders are processed accurately and delivered on time. The role requires a high level of organisation, attention to detail, and excellent communication skills. The successful candidate will liaise with internal teams, customers, and freight forwarders to facilitate smooth and timely exports.
Key Responsibilities:
1. Order Management:
Process and manage customer orders from receipt through to dispatch, ensuring accuracy and timely fulfilment.
Monitor stock availability and collaborate with the production and warehousing teams to meet customer demand.
Coordinate with the sales team to ensure accurate and prompt order entry.
2. Export Coordination:
Prepare and manage all necessary export documentation, including commercial invoices, packing lists, certificates, and any other customs requirements.
Liaise with warehouse, freight forwarders, and hauliers to ensure timely dispatch and delivery of international shipments.
Ensure compliance with international trade regulations and requirements.
3. Customer Communication:
Act as the main point of contact for customers regarding order and delivery queries.
Provide exceptional customer service by addressing any issues related to order accuracy, shipment delays, or product availability.
Ensure regular communication with customers to keep them informed about their order status.
4. Inventory Management:
Coordinate with the warehouse and production teams to ensure inventory levels are aligned with customer orders.
Assist in managing stock levels to ensure that sufficient product is available to meet order requirements.
5. Continuous Improvement:
Identify areas for process improvements in the order and export process to enhance efficiency and customer satisfaction.
Work with the Head of Logistics & Supply Chain to stay updated on changes in export regulations and ensure the company’s procedures remain compliant.
Qualifications and Skills:
1. Previous experience in order processing, export coordination, or supply chain coordination, ideally in a food or FMCG environment.
2. Strong understanding of international shipping and customs regulations.
3. Excellent organisational and time-management skills, with the ability to prioritise and multitask in a fast-paced environment.
4. High level of accuracy and attention to detail.
5. Excellent verbal and written communication skills, with a strong customer service focus.
6. Proficiency in Microsoft Office (Excel, Word) and experience with order management or ERP systems.
7. Ability to work collaboratively in a team and coordinate with different departments.
Desirable:
Knowledge of food industry regulations and standards.
Experience working with organic or gluten-free products.
Working Conditions:
Full-time, Monday to Friday.
Office-based.
