Job Summary
Surrey Downs Health & Care aims to provide high-level administrative support to all clinical services across Surrey Downs Health and Care (SDH&C) Community Services. This role involves managing all referral and administration-related work, liaising with clinicians, clients, referring parties, and other administrative or partner organization staff. You will lead by example in ensuring a patient-focused service by responding to all queries in a timely and professional manner.
You will participate in the recruitment and line manage a team of administrators responsible for delivering a high-quality, efficient administration service to support the smooth running of a large and diverse range of clinical services across various sites within the business unit.
Work closely with and deliver a wide range of high-quality efficient administration services to clinical leads, operational managers, team leaders, and clinicians for a specified range of services.
Contribute to the continual review & evaluation of all administrative systems, procedures, and associated policies to implement improvements and developments.
Support the organization in achieving its vision of excellence by promoting equal opportunities, fairness, equity, and inclusion through best practice working, monitoring, training, and evaluation.
Main Duties of the Job
* Support the business unit in the delivery of services and developing standardized administration processes.
* Assist Clinical Leads and Managers in ensuring high-quality customer service and key performance indicators are met.
* Participate in the development and updating of standard operating procedures (SOPs) for all administrative processes.
* Plan, coordinate, and manage the workflow within the wider administration team in collaboration with other senior administrators and the Clinical Manager/Operations Manager.
* Act as the line manager of a designated group of administrators, monitoring workflow delivery and allocating tasks to ensure efficient service provision.
* Contribute to the process of rota planning and flexible working within the team to ensure that workflow is managed efficiently across all sites.

Job Responsibilities
* Ensure all public and professional inquiries are handled efficiently and confidentially by the administrative team.
* Provide data to inform staffing plans to recruit and develop admin staff, participating in recruitment tasks and inducting new members.
* Manage the starters and leavers processes for admin personnel, ensuring all processes are accurately maintained.
* Facilitate communication and information dissemination to administrators within the business unit.
* Supervise and conduct performance management reviews of a delegated group of administrators.
* Evaluate and support the development of skills within the administrative team.
* Prioritize and manage your workload while supporting colleagues.
* Implement and monitor HR policies for the administration team.
* Maintain personnel records securely in accordance with confidentiality policies.
* Participate in performance management, grievance, and discipline procedures as necessary.
* Assist in the investigation of any complaints related to the administration service.
Person Specification
Essential:
* Experience of team management.
* Educated to A level, NVQ Level 3, or RSA Higher diploma with a good basic education including Maths and English.
* Some supervisory experience in a patient/service-focused environment.
Desirable:
* Knowledge of business management procedures.
* Willingness to train and develop further skills.
