We are seeking a highly motivated and well-organised Office Administrator to join our team. The ideal candidate will possess strong supervisory skills and have a background in administrative and clerical tasks, although some on-site training will be provided. This role is essential for ensuring the smooth operation of our office, providing support to professional staff, and managing various office functions efficiently. The Office Administrator will be responsible for fostering a positive work environment and culture through effective communication and teamwork. An interest in and experience of the built environment is an advantage.
Responsibilities
* Supervise daily office operations and ensure all administrative tasks are completed efficiently.
* Maintain organised filing systems, both electronic and paper-based, to ensure easy access to information.
* Handle incoming phone calls with professionalism, demonstrating excellent phone etiquette while addressing inquiries or directing calls appropriately.
* Assist with human resources functions, including onboarding new employees and maintaining personnel records.
* Manage office supplies inventory, placing orders as necessary to ensure the office is well-stocked.
* Undertake basic accounting tasks, including invoicing and expense tracking.
* Coordinate schedules and meetings for staff members, ensuring effective time management across the team.
* Communicate effectively with team members to foster collaboration and address any issues that may arise within the office environment.
* Undertake miscellaneous tasks associated with office life.
Qualifications
* Proven experience in an administrative or clerical role, preferably within an office setting.
* Strong organisational skills with the ability to manage multiple tasks simultaneously.
* Excellent phone etiquette and interpersonal skills for effective communication with colleagues and clients alike.
* Proficiency with accounting software is preferred.
* Strong attention to detail and problem-solving abilities to ensure operational efficiency.
* IT proficiency with good working knowledge of Microsoft Outlook, Word, and Excel.
* Proficient English language skills.
