Experience: · At least 10 years of experience in IT and at least 5 years of experience in IT project management or Project Management Office · Experience in a Line Management role is a plus. · PMP or Prince2 Certification (or equivalent) is required. · Experience with Agile project delivery is a plus. · Excellent communication skills in order to collaborate effectively with the business, senior management and key stakeholders. · Experience presenting to senior stakeholders, executives and end-users. · Self-starter who can work with limited supervision. The portfolio manager must be experienced in IT Infrastructure project delivery, possess excellent people management, leadership, communication and reporting skills, and have extensive knowledge of project governance. This role reports into the AXA Group Operations XL Market Project Management Manager. Key responsibilities include: · Oversee the delivery of the annual portfolio of projects for AXA Group Operations XL Market (XLM) Infrastructure Services consisting of between 75-100 projects per year, a budget of between $15-20M and a resource pool of 75-100 including approximately 18 Project Managers as well as outsourced contractors. This role is shared with a second Portfolio Manager. Portfolio Management: · Establish and actively maintain relationships with stakeholders and project managers to ensure successful delivery of all the projects within the portfolios. · Manage the project demand intake process. Compile the annual pipeline, understand scope and risks, ensure the pipeline is prioritized and maintained. Meet with the Business throughout the year to get visibility into additional requests. · Assign new projects to Project Managers and oversee the project manager capacity versus demand. Address project coverage gaps when PMs are on holiday or extended sick leave or sudden priorities crop up. · Ensure objectives, resource roles and project cost forecasts are accurately gathered for inclusion in the Statement of Works (SOWs) with the Client. · Oversee the Project Managers to ensure that they challenge the scope and requirements gathering, options analysis and design of the end-to-end business processes & business solutions. · Periodically review and audit project documentation prepared by the PMs for accuracy and quality, including the identification of key project activities, timelines, business & resource requirements, financials and critical path. · Overall accountable for the governance of the entire project portfolio through all stages of the project lifecycle (from initiation to implementation). Ensure the Project Managers adhere to the governance process in terms of stage gates, security requirements, financials etc. Actively look to improve processes to increase efficiency and reduce duplication. · Handle ad-hoc requests from management, which can include additional reporting, coordinating requirements, conducting analysis, etc. Portfolio Reporting: · Compile information for monthly reporting and check for accuracy and consistency including reporting of AXA GO XLM portfolio details to AXA Group central PMO. · Provide as-needed portfolio updates to management. · Support the monthly Infrastructure Currency governance process, preparing material to present for review and approval. · Chair weekly Project Review Meetings with the PMs that focus on status, risks/issues and mitigation plans. Resource Capacity Planning: · Periodically meet with the line managers to ensure allocations remain accurate and upcoming demand is understood. · Produce resource heat maps and highlight constraints to senior management. · Review monthly time reporting against project forecasts and address any variations. Team Management: · Assist in the recruitment and on-boarding/off-boarding process for new hires and leavers, including raising tickets, reviewing CVs, conducting interviews and raising new hire / leaver tickets. · Train new joiners, provide guidance and oversee performance. · Manage escalations. Provide additional oversight when needed.
