About the Client:
Our client, a confidential organisation, operates in two key areas: Housing and Care Services. They are currently in the process of transitioning the finance operations from traditional methods to real-time financial systems using Xero and QuickBooks. They provide vital services to those in need, offering supported living accommodation and care. The client is looking for an experienced Bookkeeper, available on an employed basis, self-employed contractor option open-to-discussion, to oversee this transition and manage their day-to-day financial operations.
You will work closely with a full-time finance assistant and a local accountant, ensuring strict confidentiality throughout. Your responsibilities will include maintaining accurate financial records, processing invoices, reconciling bank statements, and ensuring the company's financial transactions are properly recorded.
The Role:
As Bookkeeper, your primary focus will be to ensure the accurate and timely transition of financial data from legacy systems to Xero and QuickBooks. You will manage real-time data input, oversee payroll, and streamline the existing finance function. This is a crucial role as the organization shifts to more modern systems, and you'll play a key part in ensuring the transition is smooth and efficient.
Key Responsibilities:
1. Lead the transition of financial data onto real-time systems (Xero & QuickBooks).
2. Oversee payroll for both the housing and care services divisions.
3. Maintain up-to-date financial records, including accounts payable, accounts receivable, and bank reconciliations.
4. Ensure accuracy and efficiency in real-time data input.
5. Generate monthly and quarterly financial reports, including P&L statements and Trial Balances.
6. Ensure financial compliance and support end-of-year reporting alongside the local accountant.
7. Work with the finance assistant to reduce reliance on spreadsheets and improve financial processes.
8. Maintain strict confidentiality regarding client and company information.
About You:
You are a detail-oriented bookkeeper with expertise in managing payroll and transitioning to modern accounting systems. You have experience in real-time financial management using Xero and QuickBooks and are comfortable leading system upgrades and working closely with others. You have a friendly personality, firm but fair, adaptable, able to take direction and collaborate well with others as part of the larger organisation.
Qualifications & Experience:
1. Proven experience in bookkeeping, payroll management, and transitioning to real-time systems.
2. Proficiency in Xero and QuickBooks.
3. Experience managing accounts payable, accounts receivable, and reconciling bank statements.
4. Ability to generate financial reports, including P&L statements and Trial Balances.
5. Ability to generate a TB (trial balance) from QuickBooks and check the balances to supporting information i.e. bank balances to statements etc.
6. Strong attention to detail and organizational skills.
7. Ability to work independently while maintaining strict confidentiality.
