Office Manager/ Client Service Coordinator: We are looking for someone who is passionate about serving others, has a joyful personality, and is extremely organized. The Office Manager/ Client Service Coordinator is the first person staff, clients, and visitors engage with as they enter our office, making it important to create a welcoming atmosphere. You have client service experience and a creative mind to improve the overall onboarding and everyday experience for our clients. The Office Manager/ Client Service Coordinator will schedule, organize, and implement the experience of advisor client meetings. In addition to reporting to and assisting advisors, you will help the Marketing Director in implementing all firm events and activities. You will be an independent, self-motivated multitasker who can take on several tasks at the same time. You will have a welcoming personality, pleasant demeanor, and be professional in appearance. This position is onsite in Huntsville, full-time with benefits, working approximately 40 hours per week 8:00 am to 4:30 pm. You will report to the Managing Director.
Responsibilities:
* Greet all clients and visitors with a positive and helpful attitude
* Maintain atrium, café, and service areas
* Set up and reset all conference rooms throughout daily schedule
* Manage all conference room calendars
* Receive, confirm, and make client appointments for advisors
* Assist Marketing Director with event details
* Answer phones and route calls
* Attend all client events and help with set up and take down
* Coordinate and cover reception tasks
* Plan and manage employee birthday and anniversary celebrations
* Execute and Manage Employee Recognition Program
* Provide feedback for possible improvements to client experience on an ongoing basis
* Manage ordering/inventory system for all office supplies
* Manage all incoming and outgoing mail
* Manage all facility requests
* Manage key card security system
* Maintain log of receipts for client deposits
Qualifications:
* Experience serving others
* Exceptional time management skills
* Must be a team player
* Strong problem-solving skills
* Have flexible hours to work nights and events as needed
* Capability for data entry
* Client-facing concierge and hospitality experience
* Excellent verbal communication and memorization skills
* 2 or more years of experience in the position of interest
* The ability to maintain a calm and professional demeanor
* Adaptability to the fluctuating needs of our business
