Personal Assistant As part of the Executive Office Team, you will support the Managing Director and Sales Director of Jordon in the form of diary management, travel & accommodation, arranging meetings, writing emails, preparing for meetings and much more. And as a Personal Assistant with Bellrock, you ll do it by: Calendar Management Acting as the gatekeeper to diaries, establishing yourself as an extension of the Managing Director and Sales Director and therefore the first point of contact in many cases. Protecting their time when necessary. Coordinate and manage the Managing Director and Sales Director s calendars, scheduling meetings, appointments, and travel arrangements. Prioritise and schedule commitments, ensuring efficient use of executive's time. Making ad-hoc restaurant and venue reservations. Anticipate scheduling conflicts and proactively resolve them. Communication Responding to / filing / flagging emails on behalf of the Managing Director and Sales Director. Serve as the primary point of contact for internal and external stakeholders, screening and directing inquiries appropriately. Draft, proofread, and edit correspondence, reports, presentations, and other documents as needed. Facilitate communication between the Managing Director and Sales Director, ensuring timely dissemination of information. Administrative Support Handle administrative tasks for the Managing Director and Sales Director such as filing, copying, scanning, and organising documents. Prepare expense reports, manage invoices, and track expenses for the Managing Director and Sales Director. Maintain electronic and paper filing systems, ensuring accuracy and accessibility of records. Arranging birthday, anniversary and celebratory gifts as required Provide ad hoc support for office management tasks, such as creating passes, booking meeting rooms/desks, arranging catering etc Travel Arrangements Arrange domestic and international travel for the Managing Director and Sales Director, including flights, accommodations, and transportation. Prepare travel itineraries, ensuring all necessary arrangements are in place. Monitor travel expenses and reconcile travel-related invoices. Confidentiality Handle sensitive information with discretion and maintain confidentiality at all times. Uphold strict confidentiality protocols regarding executive discussions, decisions, and documents. Special Projects Assist the Managing Director and Sales Director with special projects, research assignments, and presentations as needed. Collaborate with other team members to support cross-functional initiatives. What does it take?
