Provide advice to service users to ensure they obtain maximum support from the service and respond to complaints and all enquiries relating to the Switchboard Department. Co-ordinate and maintain all activity records and fulfill routine clerical duties. Planning and Organisational Duties Organise and plan own work routine. Liaise with relevant suppliers of communication equipment for maintenance purposes. Ensure a safe working environment is maintained. Act as a reception point for operational problems and decide whether to escalate to the Senior Services Supervisor. Assist with testing fall-back equipment (radios) and associated procedures. Ensure Switchboard directories are up to date. Provide guidance on specialized procedures, including Major Incidents and Fire Alarms. Maintain and monitor all on-site bleeps with an up-to-date register of holders. Plan cover for annual leave and sickness absence, adhering to Attendance Management procedures. Train new and existing staff in equipment and procedure usage. Communications and Key Working Relationships Support the Senior Switchboard Supervisor in addressing complaints and queries from patients, staff, and service users, ensuring timely resolution. Liaise regularly with staff across all wards and modalities for service continuity. Ensure all staff respect the dignity of patients and respond to ethnic or cultural issues appropriately. Responsibility for Finance Ensure achievement of a balanced budget; record and obtain cost codes for recharging departments. Act as an authorised signatory for departmental documents. Use Oracle system for raising orders and liaise with the Senior Supervisor regarding staffing spending. Responsibility for Human Resources Maintain staff attendance and holiday records, performing Return to Work interviews as needed. Implement rotas and allocate duties to staff, facilitating participation in annual Trust PDR reviews. Ensure Staff E Learning is up to date and process time sheets in a timely manner. Responsibility for Information Resource Ensure compliance with Trust Security arrangements and timely completion of time sheets. Maintain Switchboard Directories and handle IT information requests, adhering to GDPR regulations. Responsibility for Health & Safety Ensure safety measures are in place for staff and others. Maintain up-to-date Safety and Emergency Fire Evacuation information. Conduct regular risk assessments. Responsibility for Teaching Develop and perform training programs for staff and service needs, maintaining e-mandatory training compliance levels.
