As a private client secretary, you will be responsible for:
1. Preparing correspondence and documents through audio, copy typing, and laser forms.
2. Administering filing in correct dated order and on a timely basis, including daily filing and the opening, closing, storage, and retrieval of client files.
3. Preparing mail and enclosures for dispatch.
4. Making appointments, arranging meetings, booking meeting rooms, and maintaining an up-to-date diary for the Legal Advisor.
5. Attending clients both in person and on the telephone while providing assistance in a professional and friendly manner in keeping with the firm's standards for client care.
6. Ensuring that any telephone calls are answered promptly and that telephone messages are passed promptly and accurately to Legal Advisors.
7. Carrying out the file opening procedures after the file is opened by the Legal Advisor by completing the relevant screens in the case management system and the administration (i.e., labels, file cards, risk assessment sheets).
8. Carrying out copy typing of documents, amending, and formatting complex documents such as Wills, lasting powers of attorney, or deputyship forms.
9. Ensuring that correct procedures relating to the storage and sending out of clients' deeds and documents are followed at all times.
10. Ensuring compliance with money laundering regulations.
In order to be successful as a private client secretary, you should have:
1. Experience in audio and copy typing
2. Excellent communication skills
Working hours are Monday to Friday 9 am to 5 pm.
