This is a busy and varied role where you will be providing seamless management of the MD’s diary, travel arrangements, inbox management, organising and preparing for meetings as well as drafting and amending documents and reports.NYou will be taking minutes in key meetings and responding to internal and external stakeholders.NYou will be the ‘go to’ person for the Managing Director – Roadside and his team and will have the ability to successfully multi-task, playing a key role in facilitating seamless communication and effective time management.NProactive and agile, you’ll anticipate business needs, triaging and prioritising to ensure timely responses and efficient completion of actions.NThis role is based in our offices 4 days a week with most of your time spent with our Managing Director in either our London OR Basingstoke offices.What will I be doing?nSupport the MD and Roadside Leadership Team:
Assist in activities to ensure smooth, efficient and effective business operations, using your initiative to achieve overall business objectives. Ensure the MD is briefed on key matters and prepared for meetings.NReport and Presentation Preparation:
Coordinate and prepare reports, agendas and presentations for senior stakeholders and events, ensuring actions are monitored and completed.NCommunication & Engagement:
Support the planning and management of Roadside - events and internal communication, managing relationships with external partners and across the Group, driving engagement and collaboration.NRecord Keeping and Document Management:
Maintain comprehensive and accurate records including meeting minutes and organise documents in support of MDs governance and oversight responsibilities. Track and monitor actions and deadlines to ensure timely follow up.NRelationship Building:
Develop and maintain close relationships within Roadside Services and with wider teams, the EA/PA community and other business areas.NFinancial Management:
Manage the Function\ \s finances, including issuing and processing invoices, and liaising with the finance department on approvals and reporting requirements.NOffice Management:
Managing diary access, meeting preparation, weekly notes, inbox curation and dealing with enquiries.NWhat do I need?Capability, Knowledge and Experience:
NnExperience working within a similar Executive Assistant role supporting Executive level stakeholders.NProven ability to work within a fast-paced, ever-evolving environment with the ability to manage multiple priorities effectively.NConfident learning and utilising various IT systems/software including Microsoft Office platforms with the ability to produce detailed and creative presentations.NHigh attention to detail to provide accurate and detailed record keeping including financial data.NExcellent collaboration and communication skills with a people-centric approach.NStrong analytical thinking and the ability to work independently, with a proactive problem solving mindset.NShowcase excellent planning, multi-tasking, and organising skills, with the ability to prioritise, manage time effectively, and use initiative as needed.NAdditional informationWe’re always looking to recognise and reward our employees for the work they do.
