Job Description:
An exciting opportunity has arisen for a Ward AdministrationAssistant to join our team on the Psychiatric Intensive Care Unit (PICU) at theJunipers in Exeter.
We are looking to recruit a motivated and enthusiasticindividual to join our busy team who has a flexible approach to supporting the teamat the PICU. You will need an understanding of confidentiality, possess strongcommunication skills and be able to work with both clinical and administrationstaff, members of the public, patients and electronic systems.
The post is permanent, 37.5 hours per week.
For the appropriate applicant administrative experience isessential and knowledge of the NHS would be an advantage for this position.

Main duties of the job
The post holder has a key role in providing administrative support across the ward andadministrative and secretarial support to operational staff as required.
Responsible for dealing with queries, that may necessitate in researching information tofacilitate the outcome of the query. Manage nursing office diary, coordinate pool car bookings, place orders and receiptgoods received.
Manage the petty cash, ensuring that the data relating to petty cash is recordedappropriately.
The Ward Administrator post may have regular contact with people who use our services. Frequent communication with vast range of services and individuals, building a widenetwork of contacts and developing professional relationships with both teams based onthe ward and those based elsewhere.
The first point of contact for all telephone calls to the ward. Use of a variety of manual and computerised systems that include rotas, room bookingcalendars, patient records and processes for recording postal systems.
Produce a variety documents from other online systems to inform the Trust on keyperformance indicators (KPI). Signpost staff and visitors to appropriate appointments, contacting teams/individuals toinform them of visitors arrival and ensuring that there is a timely response.
To ensure that all communication is within the boundaries of patient confidentiality and toseek guidance when unsure.

Person Specification
Qualifications
* RSA 3 Word Processing or equivalent level of experience in practice.
* GCSE English or equivalent
* Evidence of continuing professional and personal development
Experience
* Intermediate IT skills in Microsoft Office Packages, ie Word, Excel, PowerPoint and Outlook.
* Working knowledge of a range of administrative procedures including diary management and arranging appointments
* Experience or understanding of creating electronic records, electronic filing systems
* Electronic data base management.
* Ability to manage diverse workload whilst dealing with frequent interruptions
* Ability to meet deadlines and to work under pressure
* Exceptional organisational skills and ability to prioritise
* Ability to work both independently and as part of a team
* Ability to provide a high standard of secretarial support for meetings e.g. organising, booking venues and minute taking
* Knowledge of our business and how it supports patient care
