Permanent Office Manager required for Leading Manufacturers Based in Lisburn Job Overview: My client are seeking a highly organised and proactive Office Manager to join their team. The successful candidate will be responsible for overseeing the daily operations of the office, managing a small team, and ensuring smooth order processing. This role also involves providing exceptional customer service by resolving queries and supporting the sales team. Additionally, you will work closely with the production team to ensure orders are handled efficiently and accurately. Experience with SAGE and within a manufacturing environment is essential. Key Responsibilities: Team Management Lead, manage, and support a small office team, ensuring smooth workflow and adherence to company processes. Provide training, guidance, and development opportunities to team members. Monitor performance and productivity, conducting regular reviews to maintain high standards. Sales Order Processing Oversee and manage the end-to-end sales order processing cycle, ensuring all orders are accurately entered and processed using SAGE. Liaise with customers and internal departments to ensure orders are completed within agreed timeframes. Customer Service Excellence Handle customer queries and ensure they are resolved promptly, maintaining a high level of customer satisfaction. Work closely with the sales team to provide additional support in addressing customer inquiries, following up on orders, and ensuring timely communication. Liaison with Production Team Coordinate with the production team to ensure accurate and timely communication regarding order requirements, timelines, and any necessary updates. Monitor production schedules to ensure alignment with customer expectations and delivery deadlines. Sales Support Assist the sales team in preparing quotes, processing customer requests, and maintaining accurate sales records. Provide administrative support for sales-related activities such as updating customer accounts, handling returns, and generating sales reports. SAGE Management Utilise SAGE for order entry, invoicing, inventory management, and generating reports as required. Ensure data accuracy and maintain up-to-date records in the system. General Office Management Maintain a well-organised office environment, handling day-to-day administrative tasks including filing, scheduling meetings, and ordering office supplies. Ensure all office equipment and systems are functioning effectively. Essential Criteria: Proven experience as an Office Manager or similar role within a manufacturing environment. Strong experience with SAGE software, including sales order processing and invoicing. Excellent organizational and multitasking skills with the ability to manage multiple priorities. A proactive approach to problem-solving with strong decision-making skills. Exceptional customer service skills, with the ability to resolve issues efficiently and professionally. Strong communication and interpersonal skills, with the ability to liaise across various departments (e.g., sales, production, and customer service). Proficient in Microsoft Office (Word, Excel, Outlook). Experience with inventory management systems. Previous experience providing sales support in a manufacturing setting.
