Job Purpose We are looking for a Team Administrator to provide comprehensive administrative support and advice to the team through various communication channels. The role involves maintaining and developing working relationships, promoting safe team working, and ensuring efficiency and compliance with company policies. Key Responsibilities
Administrative Support: Provide comprehensive support to the Capital Delivery team, including diary management, purchase orders, reporting, and maintaining systems and records.
Information Coordination: Facilitate the flow of information from internal and external stakeholders, manage communications, and ensure timely processing of requests, orders, and invoices.
SharePoint Management: Maintain the Capital Delivery SharePoint site, act as the SharePoint ‘super-user,’ and coordinate document libraries.
Reporting & Documentation: Create KPI reports, produce standard and ad-hoc reporting, and manage team records, including financial and training registers.
Meeting Support: Schedule meetings, prepare agendas, take minutes, and ensure clear communication of itineraries and action plans.
Onboarding & Compliance: Assist in onboarding new staff, maintain compliance with company policies, and support various meetings, briefings, and events. Skills and Experience Qualifications:
GCSE Maths and English, Grade C/4 or above (essential).
A-Level qualifications or equivalent post-secondary education (desirable).
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Familiarity with document management tools like SharePoint.
NVQ Level 2 or 3 in Business Administration or equivalent qualification. Practical Experience:
Proven experience in high-quality administrative support in a professional environment.
Experience in coordinating meetings, preparing agendas, and taking minutes.
Proficiency in standard office software and document management tools.
Experience in supporting team communications and updating the Intranet site.
Familiarity with organizational processes and team dynamics.
Ability to manage confidential information and work closely with senior staff.
Strong organizational and time-management skills.
High attention to detail and proactive in improving processes.
