Key Responsibilities for Workforce Management Team Lead
1. Team Leadership & Development
* Lead and mentor a team of Workforce Management Coordinators.
* Foster a collaborative team culture focused on accountability, performance, and continuous improvement.
* Provide training and development to improve planning skills and knowledge.
* Conduct regular performance reviews and provide constructive feedback.
2. Workforce Planning & Scheduling
* Oversee staff scheduling and shift planning to ensure optimal coverage and flexibility.
* Respond swiftly to changing operational demands and adjust staffing levels accordingly.
* Ensure fair allocation of shifts while complying with legal, contractual, and business requirements.
* Maintain a proactive approach to demand forecasting and seasonal planning.
3. Timekeeping & Compliance
* Monitor timekeeping records for accuracy and payroll alignment.
* Ensure adherence to UK employment law, working time regulations, and internal policies.
* Support audit readiness by maintaining clear and accurate workforce documentation.
* Drive best practices and compliance across all workforce management activities.
4. Stakeholder Collaboration
* Liaise with department heads, HR, and operations teams to anticipate workforce needs.
* Act as the go-to point for workforce-related concerns and problem resolution.
* Deliver timely and proactive staffing solutions to meet business priorities.
* Build strong internal relationships to support overall business goals.
5. Agency & Vendor Management
* Manage staffing agency partnerships to align with planning needs and business standards.
* Ensure agency workers meet compliance, conduct, and performance expectations.
* Review and evaluate agency contracts and costs to maximise value.
* Address agency performance issues and escalate where necessary.
6. Reporting & Analysis
* Produce regular reports on staffing levels, performance metrics, absenteeism, and trends.
* Use data-driven insights to optimise workforce allocation and planning processes.
* Present findings and recommendations to senior management.
* Contribute to strategic workforce decisions based on accurate forecasting and analysis.
7. Technology & Systems Management
* Use workforce management tools and systems to streamline scheduling and tracking.
* Maintain accurate data input, updates, and system integrity.
* Champion the adoption of digital tools and process automation.
* Train team members on system usage and updates.
Skills & Experience Required
* Bachelor's degree in Human Resources, Business Administration, or related field.
* Minimum 3 years of workforce management experience, with at least 1 year in a leadership role.
* Strong understanding of workforce planning tools (Excel, Microsoft Access, or similar software).
* In-depth knowledge of UK labour laws and compliance regulations.
* Exceptional communication and interpersonal skills.
* Strong analytical and problem-solving skills.
* Experience in airline catering, hospitality, or a similar high-paced environment preferred.
* Ability to work effectively under pressure and adapt to shifting priorities.
