Workday Specialist (Pay & Benefits System)
Location: Hybrid working, Worthing
Perm/FTC: Permanent
Hours: 37 hrs
Salary: Up to £51,000 based on experience
Southern Water are looking for a Workday System Specialist for UK Payroll, Expenses, Compensation & Benefits who will be responsible for managing and supporting the configuration, integration, and optimisation of the Workday system across key HR functions.
This role will ensure the seamless operation of the UK Payroll, Expenses, Compensation, and Benefits modules within Workday, ensuring compliance with UK regulations and the organization’s policies.
The specialist will work closely with HR, Finance, Payroll, and IT teams to support system enhancements, troubleshoot issues, and maintain system integrity.
As part of this role, you will be responsible for:
1. Workday System Administration
2. Configure, maintain, and optimise the UK Payroll module in Workday to ensure the accurate and timely processing of payroll for all employees.
3. Manage the configuration and administration of the Workday Expenses module to ensure accurate expense reporting and reimbursement processes.
4. Work with Finance and HR teams to define and implement expense policies, including allowable expenses, submission workflows, and approval processes.
5. Oversee the configuration and management of Workday Compensation modules, including salary structures, bonuses, allowances, and equity-based compensation (stock options, etc.).
6. Ensure that compensation data is accurately entered and maintained, supporting salary reviews, merit increases, and other compensation events.
7. Assist HR leadership with the setup and execution of compensation cycles, such as annual salary reviews and bonus payouts.
8. Administer and configure the Workday Benefits module, managing employee benefit elections, enrolment, and changes to health insurance, pensions, and other benefit programs.
9. Ensure that benefit plans and programs are correctly configured to meet UK regulatory requirements and company policies.
10. Reporting and Data Analysis:
11. Develop and generate reports key HR, payroll, compensation, and benefits metrics to inform HR and leadership decision-making.
12. Monitor compliance with required training and certifications and provide regular reports to relevant stakeholders.
13. Collaborate with HR, Finance, and management teams to analyse data, identify trends, and provide insights for business decision-making.
14. System Troubleshooting and Issue Resolution:
15. Investigate and resolve data discrepancies or errors in the system, including time discrepancies, payroll issues, and benefits enrolment.
16. Assist with user training and guidance to improve system usage and efficiency.
17. Provide ongoing support to HR, payroll, and finance teams, as well as end users, by troubleshooting and resolving issues related to Workday Payroll, Expenses, Compensation, and Benefits modules.
18. Develop and deliver training for the HR teams to ensure efficient use of Workday, including how to manage payroll, expenses, and benefits information within the system.
19. Document processes and create user guides for system usage to facilitate system adoption and promote self-service within the organization.
20. Compliance & Governance:
21. Support the Payroll manager in ensuring the payroll, expenses, compensation, and benefits processes comply with UK legal and regulatory requirements, including HMRC reporting, PAYE, pensions auto-enrolment, and tax codes.
22. Keep up to date with changes to UK employment law, tax regulations, and benefits requirements to ensure Workday configurations are compliant.
23. Maintain thorough documentation of system configurations, processes, and reports to support audits and compliance reviews.
24. Process Improvement and Optimisation:
25. Work with HRIS, IT, Payroll, and Benefits teams to continuously improve and optimise the configuration and usage of Workday across payroll, expenses, compensation, and benefits processes.
26. Identify opportunities for process automation, enhanced reporting, and system functionality improvements.
27. Participate in testing and feedback for new system updates, ensuring that the system remains current and optimally configured. Responsible for supporting the twice year upgrades including testing and documentation.
