Could that be you? Role Summary As Operations Assistant you will be part of One Big Circles ‘Inner Circle’ and will play a crucial role in maintaining the efficiency of our office environment. Your primary focus will be on keeping the whole team moving forward, offering support where needed. The role will be extremely varied, and you will be involved in a wide range of tasks, giving you insight into the entire company. This will also provide you with the opportunity to develop and learn across all aspects of the business. You will learn to actively anticipate the needs of team members and help them stay focused on their activities by providing assistance and resolving their issues quickly and accurately. In addition to being super-organised, you will possess the communication skills needed to interact with a variety of people in and outside of the business. Responsibilities Supporting the Operations Manager with the day to day running of the offices Being proactive and detail-orientated in your approach to all tasks and whilst anticipating the needs of the business Stock Control: Assist in receiving, inspecting, and recording incoming stock. Conduct regular stock checks to ensure accurate inventory levels. Collaborate with relevant departments to reconcile discrepancies in stock records. Report low stock levels and assist in the replenishment process. Tidying: Maintain a clean and organised office space, including workstations, common areas, meeting and storage rooms. Monitor and replenish office supplies, ensuring all areas are adequately stocked. Assist in the setup and organisation of meeting rooms and events. Dispose of waste and recyclables in accordance with company policies. Shipping: Coordinate and process outgoing shipments, ensuring accurate and timely dispatch. Prepare packages for shipping, including the relevant documentation. Communicate with courier services and freight carriers to schedule pickups and deliveries. Track and update shipment status, providing relevant information to stakeholders. Personal Qualities and Experience You will have the ability to liaise effectively with other team members, prioritise your own workload and contribute your ideas and be able to work independently. Confident in finding solutions and completing tasks in coordination with the Operations Manager. Highly organised individual that thrives on helping others succeed.
